Design Custom Barcode Labels Using CloudLIMS

The label is the most important part of the sample tracking process. Labels determine the efficiency and accuracy of a tracking system and, in turn, are critical to the success of the sample tracking process implemented in a lab. A single unidentified sample, or a missing tube, especially the rare samples that are available in limited quantities can result in exponential costs to a lab. Handwritten laboratory labels usually consume a great deal of time because of the meticulous labeling of samples that is required. Sample identification errors creep in due to low-grade labels and marker pens, illegible handwriting, labeling mistakes, or labels becoming exposed to water or chemicals in the freezers. Barcode labels provide a quick and efficient method to identify sample tubes in no time. How to Create Barcode Labels using CloudLIMS

Step 1. DEFINING YOUR BARCODE:
Before designing a label, it is important to define its function. Here is how:

Go to Application Settings >> Barcode Template to create and assign system generated barcodes (both 1D and 2D) for samples. Add, edit, or delete a set of attributes to be encoded in the barcode. If you wish to use external barcodes, you may set the system acceptance at any time.

To add a barcode template:

  1. Select a module name and click Add. The Barcode Template window will open.
  2. Select a generation mode, 1D or 2D and symbology.
  3. Select the attributes to be encoded in the label and click Save.

To assign a template:

  1. Select a module name from the drop down menu. The list of saved templates are displayed automatically.
  2. Select a template and click Assign Template.

To edit a template:

  1. Select a template.
  2. Click Edit and make the desired changes in the Barcode Template window to update.

To delete a template:

  1. 1. Select a template.
  2. Click Delete and confirm your deletion.

To update existing barcodes:

  1. Select a module from the Module Name drop down menu and click Update Existing Barcode. A new window will open.
  2. Select a Used Template ID from the list and click Update.

To clear an assigned template:

  1. Select a module from the Module Name drop down menu. Click Clear Assigned Template.
  2. The Delete Barcode Template confirmation box will open. Click Yes.

Step 2. CREATING A LAYOUT FOR THE BARCODE LABEL:

Go to Application Settings >> Label Design tab. This tab has three sections which assist in managing printer, label and page dimensions.

Section 1. Label/Printer List: Here is how you can customize the printer and label settings using the tools in this section:

To add a label or printer:

  1. Click the Add Label/Printer button. The Create new label window will open.
  2. Add a new printer or select an existing printer from the drop down menu.
  3. Specify a label name and dimensions.
  4. Click Preview to check the label before printing.
  5. Click Save.

To edit a label or printer:

  1. Select a label or printer.
  2. Click Edit and make the required changes in the Edit printer/label window to update.

To delete a label or printer:

  1. Select a label or printer.
  2. Click Delete and confirm to remove an entry.

Section 2. Label Template: In this section, you can design and save the label templates. Here is what to do:

To add a label template:

  1. Select a module from Module Name drop down menu.
  2. Click Add. The Label Template window will open.
  3. Name your template. Select Printer Type and Label Name.
  4. Specify the label dimensions, orientation, attribute and font settings as required.
  5. Click Preview to check before printing and click Save.

To edit a label template:

  1. Select a template.
  2. Click Edit and make the necessary changes in the Label Template window to update.

To delete a label template:

  1. Select a template.
  2. Click Delete and confirm to remove.

Section 3. Page Setup: Here is how you can use this section to set the dimensions of the printable area on a page:

To add a new page:

  1. Click Add. The Page Setup window will open.
  2. Specify the Page Details, Margins and Label Grids. Click Save.

To edit a page:

  1. Select an entry.
  2. Click Edit and make the desired changes in the Edit Page Setup window to update.

To delete a page:

  1. Select an entry.
  2. Click Delete and confirm to remove.

Step 3. PRINTING LABELS TO GET STARTED:
Here is how to use the pre-configured templates to easily and quickly print labels:

  1. Go to Samples module>> Select a Sample Type.
  2. From the list, select a sample that you would like to print the barcode label.
  3. Click the Print Labels icon. The Print Labels window will open.
  4. Adjust the Label/Printer Settings and Page Settings as required.
  5. Click Save as PDF and print the file using an integrated printer.
