CloudLIMS Version 2.70 Released

The new version includes the following:

  • Multi-Approver Test Validation: You can now select multiple approvers for a test type. Once a technician sends test results for validation, any one of the designated approvers can approve or reject the test results and can write their remarks or observations. Once the test results are approved, CloudLIMS sends an email notification to all approvers. This functionality prevents any delay in the test validation process due to the unavailability of an approver, eliminating delays in delivering test reports.

    CloudLIMS now records the user ID of the approver along with the date and time stamp of test validation. This functionality is particularly useful for analytical testing laboratories and enables them to meet ISO/IEC 17025 compliance and quality management requirements.

  • Generate a Report of All Stored Samples: The latest version of CloudLIMS enables you to quickly search and find all samples present in a storage container and its sub-containers using a storage ID. Furthermore, you can easily generate a report of all samples in an MS Excel file format. This functionality enables you to identify and report all samples in a storage unit, for example, a freezer, with just a few clicks.

  • Send Personalized Emails: You can now edit email templates and send personalized emails to patients and clients notifying them of the test report release. You can include the system-generated ID of a patient or client in the email template depending on the email recipient. Furthermore, you can configure the First Name and Last Name in the email templates used for sending out login credentials and barcodes to patients. This functionality provides you the flexibility to customize the email for patients or your clients per your requirements.

  • Client Portal Services Extended: The latest version of CloudLIMS enables you to upload and attach external files to sample records on the client portal. This functionality enables you to securely share crucial documents or important information with your clients while processing the service request.

  • Generate Sample Report: You can now generate a sample report using the attributes and sections available in the sample forms. This functionality helps you create a report for sharing with your clients and for record keeping. The report gives a complete overview of the samples and their attributes such as type, storage location, demographics of the patient, if part of a clinical study or any such data that you would like to present.

  • Include Client Attributes on Labels: You can now include client attributes on sample labels. While configuring label templates, you can choose to include client attributes for all or specific sample types. This functionality enables laboratories to quickly trace the record of the client who submitted one or more samples for diagnosis, analytical testing, or storage by simply scanning the sample label and searching it in CloudLIMS.


CloudLIMS Version 2.60 Released

The new version includes the following:

  • Enable Authentication of CoAs or Test Reports: You can now include a QR code on Certificates of Analysis (CoA) or test reports to enable easy authentication. The QR code encodes a link to the original CoA or test report generated by a laboratory. You can define the position and alignment of the QR code on the report and save the settings as a template for using it over again. This functionality enables authentication of CoAs or test reports and is particularly useful for analytical testing laboratories, such as cannabis, and clinical diagnostics. For example, a customer purchasing a cannabis product from a dispensary can scan the barcode on the CoA and match the reported composition with the composition on the product label to ensure that the product has the same composition as claimed.

  • Design Labels to Encode Multiple Tests: You can now print labels with barcodes for one or multiple tests. You can configure label templates with system-defined and user-defined attributes for different test types. Furthermore, you can define the printable label dimensions, barcode/attribute orientation, and label printing direction before printing the labels. The test information encoded in the barcode can be easily decoded by simply scanning and searching it in CloudLIMS. This functionality is particularly useful for analytical testing laboratories and enables them to meet ISO/IEC 17025 compliance.

  • Generate Test Reports in a Batch: You can now generate test reports in a batch for multiple patients and clients. The test reports are generated as separate files for each client and patient. You can select your preferred reporting template for doing a batch job. This functionality eliminates the need to generate reports piecemeal, thereby reducing the turnaround time.

  • Family Registrations on Patient Portal: The portal is now enhanced to enable families to book tests and access reports. Parents or the guardian of minors or members of a family can use their email address to register all the patients of a family. A unique username needs to be specified for each patient at the time of registration. After a successful registration, each patient or their guardians can access the patient portal using the unique username and password to track the status of their test request or to download test reports as soon as they are released by the laboratory; however, all the reports are mailed to the email address provided at the time of registration. This functionality is particularly useful for patients interested in COVID-19 or other diagnostic testing services offered by your laboratory.

  • Generate Incoming or Outgoing Package Reports: You can now generate a custom report containing incoming or outgoing package details in an MS Excel or CSV file format. Furthermore, you can configure custom report templates and set your preferred template as default for future use. This functionality enables you to easily share the details of packages with your logistics staff and keep them informed about incoming or outgoing packages on a day-to-day basis.

  • Timestamp on CoAs & Test Reports: The latest version of CloudLIMS enables you to include a timestamp on CoAs or test reports based on the time at which the report is generated. You can choose to display the time in 12-hour or 24-hour format per your preference and define the placement of the time stamp on the report. Furthermore, you can include a custom text next to the stamp. This functionality is particularly useful for analytical testing laboratories and enables them to meet the requirements of ISO/IEC 17025 and 21 CFR Part 11 compliance.
  • Reject Service Requests with Reasons: You can now select one or multiple reasons while rejecting one or a batch of service requests. You can preconfigure a set of common rejection reasons for easy selection or enter a specific reason before rejecting a request. The reason for rejection is automatically recorded along with a date and time stamp and the name of the supervisor who rejected the request. Your customers can view the reason for rejection from the client portal. This functionality enables you to apprise your customers of the exact reason due to which their request was rejected. This helps your customers take necessary corrective actions before re-submitting their request, minimizing the chances of subsequent rejections and saving costs.

CloudLIMS Version 2.50 Released

The new version includes the following:

  • Print Patient Labels: You can now print labels with patient barcodes from CloudLIMS's patient management module. You can configure label templates with system-defined and user-defined attributes for different patient types. This functionality is particularly useful for biobanks and clinical diagnostics. It enables them to print labels directly from the patient management module, without the need of switching to the Sample Management module.

  • Reposition Stored Samples: You can now move one or all samples from one storage unit to another while maintaining the same order of samples as before. You also have the option to change the order and direction to any other based on your preference. For example, the samples can be made to populate the new storage unit from a particular location and in a vertical or horizontal format. This functionality enables you to quickly reposition samples in just a few clicks per your requirements.

  • Release Test Reports in a Batch: The latest version of CloudLIMS enables you to email test reports in a batch to patients and clients. This functionality enables laboratory managers to release test reports to multiple clients and patients at the same time, eliminating the need to push results out piecemeal thereby reducing the turnaround time.

  • Upload External Files or Reports for Your Clients: You can now upload one or multiple external files or reports and associate them with a service request. Once the files are uploaded and released, your clients can seamlessly access them over the client portal. This functionality enables you to share reports received from a subcontractor laboratory or provide additional documents to your customers to support the test results.

  • Assign User Group Permission to Access Samples: The latest version of CloudLIMS enables the master administrator of the product to assign permissions to user groups for accessing sample records. The access permission applies to a user group which in turn is applied to individual users within that group. You can provide no access, view-only access, or full access for each sample to a user group from the sample management module. This functionality allows personnel from only authorized user groups to access sample records, maintaining data integrity of samples.

  • Search & Quickly Retrieve Test Types: You can now easily search and retrieve a test type using the search functionality, enabling you to quickly assign tests to samples in just a few clicks. This functionality helps you trace test types based on test type or test code, eliminating the need to manually find out the preferred test type from hundreds of test types, saving time and effort.
  • Include Client Logo in Test Report: You can now include your client's logo above or below the report title per your reporting requirements. This functionality strengthens the reporting flexibility and is particularly useful if your laboratory has multiple customers with each customer wanting to have their logo on the test report.
  • Filter Test Reports: You can now filter tests based on their test report release status per your preference and selectively display tests for which reports are released or yet to be released. This functionality enables you to quickly trace the test reports that are not released and take necessary actions if required. For example, you can now display tests that are completed and then filter them based on their report release status. For the ones that are not released, you can quickly take action and deliver them to patients or clients enabling you to remove any backlogs quickly.
  • Define Formula Expressions with Alphanumeric Values: You can now define complex formula expressions containing attributes that may have alphanumeric values. This functionality enables you to include those analyte attributes in formula expressions whose value may be too small to be accurately expressed in numbers. This functionality is particularly useful for cannabis testing laboratories since at times the total value of cannabinoids in a cannabis sample may be below the quantification limit or limit of detection.

CloudLIMS Version 2.40 Released

The new version includes the following:

  • Calculate Final Test Results: The latest version of CloudLIMS supports the calculation of experimental results obtained from analytical instruments to determine the final test results. This functionality is particularly useful for diagnostic laboratories, such as COVID-19 diagnostic laboratories. CloudLIMS helps quickly calculate the final test result values based on the results of positive and negative control samples read from the instruments, test samples, and predefined kit-specific formulas. Once the test results are imported in CloudLIMS from the instrument raw files, it performs the predefined calculations to determine the final test results, for example, positive, negative, or invalid in the case of COVID-19 results. The laboratory manager can subsequently validate the test results before releasing the test report. This functionality eliminates the need for the lab technician to collate data and perform complex calculations.

  • Generate & Export Training Competency Matrix: You can now generate a custom staff training and competency matrix and export it in an MS Excel file format. You can select one or multiple records of a specific training type or all training types for generating a training competency matrix. For creating a matrix, you can select a column header (for example, user ID), a row header (for example, training ID), and choose the preferred font size of the attributes. Furthermore, you can define a unique color for each training status and competency level per your preference, let's say yellow for in-progress training and green for completed. This functionality helps laboratory managers quickly visualize the training status or competency level of staff, assign analytical tasks only to the trained staff, and provide additional training to incompetent staff.

  • Automatically Email Updated Barcodes to Patients: The latest version of CloudLIMS enables you to automatically email the updated QR code to a patient each time the laboratory staff updates any attributes encoded in the QR code that is associated with the patient record. Upon receiving the updated QR code, the patient should use it at the collection site. This functionality enables pulling up the correct patient records at the testing facility, preventing sample mix-ups and associating the correct information with the patient.

  • Associate Patients with Physicians: You can now enable patients to associate themselves with the attending physician from the patient portal. This functionality is useful for the patients who have requested a diagnostic test under the recommendation of a physician and are interested in tracking the status of their test request and having their physician receive a copy of the test report as soon as it is available. This functionality helps bridge the communication between physicians and patients and enables physicians to commence the treatment of patients without any delay.

  • Preview Documents: In the Document Management module, you can now preview a PDF document, such as a manual, eliminating the need to download it every time you need to view it. This functionality enables you to better comply with the document control requirements of ISO/IEC 17025:2017 compliance by preventing unauthorized access of downloaded documents.

  • Enhanced Workflow Management Functionality: Longer sample processing times can have an adverse impact on the quality of the time-sensitive samples, compromising the sample quality and the accuracy of test results. Based on the start time and the completion time of each step in a workflow, you can determine the turnaround time of each step and identify the steps that consume an unusually long time. This functionality enables you to identify the bottlenecks in laboratory workflows and take necessary corrective measures to minimize the turnaround time, enabling you to effectively manage your laboratory workflows.

CloudLIMS Version 2.35 Released

The new version includes the following:

  • Patient Self-registration: A patient can now securely register themselves on CloudLIMS’ patient portal for undergoing a diagnostic test, such as a COVID-19 test, directly from your website. While registering on the patient portal, a patient needs to fill out personal details, such as name, email address, date of birth, and gender. The registration form can be pre-set based on the lab requirements. After successful registration, the patient receives an email with a unique username and password using which they can securely log in to the patient portal. Additionally, the patient's record is automatically created in the Patient module of CloudLIMS avoiding needless data entry and transcription errors. The patients can track the status of their test request on the patient portal.

  • Password Changing or Recovering Functionality: The patients can easily recover their password using their registered email address and the forgot password functionality if they do not remember their password. Additionally, the patients can change their password for accessing the patient portal. The password changing functionality minimizes the risks associated with security breaches and provides control to patients to safeguard their health information.

  • Securely Deliver Test Reports to Patients: You can now securely deliver test reports to patients through CloudLIMS's patient portal. As soon as the test reports are available, they are automatically associated with the records of patients. Subsequently, you can select a patient record and release the test report. As soon as you release the test report, the patient receives an email notification. The patient can then securely log in to the patient portal and download the test report.

  • Include a Unique QR Code on Test Reports: You can now generate a unique QR code for the test results and include it on the test report. The patients can have the QR code scanned either from a digital test report or a printed report. This functionality enables patients to assert their test results, particularly COVID-19 test results, at airports, workplaces, universities, or anywhere they go.

  • Personalize the Patient Portal Login Page: You can now customize the login page of CloudLIMS' patient portal to offer a personalized experience to patients. The patients can directly login to the patient portal from your website to download test reports or to track the status of their test request. You can use your logo for branding. You can add a custom title, subtitle, and footnote to the login page and can define the font size, font type, and color of the text to match the look and feel of your website. You can add a custom text message and link it to a website of your choice. You can also insert a background image and define its size, and change the transparency of the login page to increase the visibility of the background image.

  • Selectively Display Patient Attributes: You can now show or hide patient attributes per your preference in the patient registration form. For example, a patient does not need to specify a custodian ID during registration; however, the laboratory staff members need it. It is possible to retain the ID in the patient module to complete the registration process. This functionality enables you to selectively display only relevant attributes depending on the user.


CloudLIMS Version 2.3 Released

The new version includes the following:

  • Automatically Email Barcodes to Patients: The latest version of CloudLIMS enables you to automatically email a unique QR code to patients as soon as they are registered in CloudLIMS. The patient can then have the QR code scanned at the sample collection site to confirm their identity. This functionality enables the sample collector to quickly track patient registration information during sample collection by simply scanning the QR code. Furthermore, this functionality enables accurate association of a patient with the sample collected from the patient, eliminating any chances of manual errors.

  • Associate Patients with a Service Request by Scanning Barcodes: You can now associate patients with a service request, such as a test request, by simply scanning patient barcodes. While processing a service request, you can select a patient type and subsequently scan QR codes of patients to quickly associate them with a service request. This functionality is particularly useful for laboratories receiving test requests for hundreds of samples at a time. It helps reduce turnaround time and prevent the misassociation of patients with test requests.

  • Search & Locate Storage Units with Ease: You can now easily locate a storage container such as a box, plate, or tray using the search functionality, enabling you to assign storage locations to samples in just a few clicks. This functionality helps you quickly trace a storage container using an external/ user-defined storage ID or a system-generated ID, eliminating the need to manually find out the preferred storage container from all available storage containers.

  • Reorder Report Attributes: You can now reorder report attributes per your preference before generating a sample report, test report, or study report irrespective of the report format (PDF, MS Excel file, or CSV). Furthermore, you can save the preferred order of attributes as a report template for future use. This functionality enhances the reporting flexibility, enabling you to personalize test reports per your clients’ requirements.

  • Set Custom Test Report Templates as Default: You can now set a custom report template as default for using it over again while generating a test report. This functionality eliminates the need to select attributes and format preferences every time you generate a test report, saving time and effort.


CloudLIMS Version 2.2 Released

The new version includes the following:

  • Securely Deliver COVID-19 Test Results to a Mobile App: You can now securely deliver COVID-19 results and certifications on Folio’s mobile app as soon as the results are available. The test results issued include a unique secure QR code to facilitate contactless result validation, enabling COVID-19 results to be asserted, anytime, anywhere. This functionality eliminates any chances of lost or misplaced results and the need to print test reports or share them via email.

  • Enhanced Client Portal Services: Your customers can now place a service request constituting multiple orders from the CloudLIMS Client Portal. For placing a service request, your customers can simply import a file (MS Excel or CSV) containing the service request catalogs along with the sample information. When uploaded to the portal, the samples are added to the samples module, the test requests are received by the lab (if the service request is of a test), and the samples and tests are associated to eliminate any transcription errors. This functionality is particularly useful for your customers who place hundreds of diagnostic test requests or sample storage requests. It empowers your customers with an easy mechanism for placing multiple orders with you, instead of manually entering each order, saving time and reducing any chances of manual errors.

  • Email Test Reports to Patients: You can now deliver test reports to patients at their registered email address. As soon as a patient's test report is validated and released, it is added to the patient's record. You can then directly email the test report to the patient as well as the physician on file. This functionality enables the patients to receive the results as soon as the COVID-19 testing or diagnostic laboratory completes the testing process and enables quick decision making for treatment, quarantine and isolation, curbing further spread in the community.

  • Track Storage Units With Ease: You can now create 1D or 2D barcode templates for storage containers such as boxes, plates, trays, or update existing templates. Once a template is created, you can associate it with the storage containers for automatic generation of barcodes. Furthermore, you can design and print labels for the storage containers. This functionality enables you to seamlessly track the storage units using barcodes, eliminating any chances of sample loss or misplacement.

  • Search & Locate Storage Units: You can now perform a search using the name or label of the storage units and quickly locate them. This functionality eliminates the need to manually locate storage units amongst hundreds of hierarchical storage units and easily navigate to the desired storage unit.

  • Extended Login Functionality: The latest version of CloudLIMS supports Single Sign-on (SSO) using Okta in addition to Google and LinkedIn. This functionality enables central account creation, maintenance, and logins, simplifying the authentication process. Once you have signed in via Okta, you can access CloudLIMS seamlessly without having to log in and out each time. This functionality enhances user experience, productivity, and security control. Furthermore, this functionality eliminates the need to remember multiple passwords for different applications and therefore using forgotten passwords or reset passwords to set those.

  • Filter Samples Based on Custodianship: The latest version of CloudLIMS enables you to set the sample filters so as to display only the samples that belong to you by default. Furthermore, you can set filters to display the samples shared with you or transferred to you by other users. This functionality provides you a personalized view of your samples, enabling you to quickly trace them and filter out the samples that do not belong to you, saving time and effort.

  • Resend Test Reports: You can now resend test reports through email to your customers such as hospitals or physicians you work with or directly to patients. You can choose the email recipients before resending the test reports. This functionality enables you to resend test reports if the recipients have not received them due to spam filters or if you missed attaching test reports to your email before releasing them.


CloudLIMS Version 2.1 Released

The new version includes the following:

  • Create Customer Groups to Facilitate Data Sharing: You can now create a customer group and add multiple customers under the same account. All customers belonging to a particular account can access data associated with the customer group. For example, samples, patient records, test reports, invoices, can be accessed when they log in from the client portal. All the customers belonging to a group can log in to the client portal using their unique login credentials to access and add samples, review and place test orders and retrieve reports posted on the portal. This functionality enables your customers to share their data with colleagues for better organization-wide coordination.

  • Batch Assign Tests to Stored Samples: You can now assign tests in a batch. For example, if you have 96 samples stored in a PCR plate you want to send for a test, you can simply select the plate and assign it to a test instead of assigning each sample to a test. All samples in the plate are automatically assigned to the selected test. This convenient functionality reduces the turnaround time, saves effort, and reduces the chances of manual errors.

  • Enhanced Login Functionality: The latest version of CloudLIMS supports Single sign-on (SSO). So if you are using your Google or LinkedIn accounts, SSO allows for central account creation, maintenance, and logins. Once you have signed in via Google or LinkedIn, you can access CloudLIMS seamlessly without having to log in and out each time. This functionality enhances user experience, productivity, security control, and simplifies the authentication process. Furthermore, this functionality reduces the risk of lost or forgotten passwords and the need to remember or reset passwords.

  • Add Multiple Documents in a Batch: In the document management module, you can now add multiple laboratory documents, such as manuals, SOPs, in a batch. This functionality enables you to quickly and efficiently manage laboratory documents.

  • Access Test Reports from the Sample Management Module: You can now view and access all test reports associated with every sample from the sample management module instead of just the Test module. Furthermore, you can release one or multiple test reports associated with a sample in a few clicks without the need to switch back to the Test module where this functionality is already available. This feature enables you to verify the association of samples with test reports, minimizing reporting errors.


CloudLIMS Version 2.0 Released

The new version includes the following:

  • Generate Barcodes for Patients: You can now generate unique 1D and 2D barcodes for patient records, create barcode templates for each type of patient, and batch update patient barcodes. You can exclude Personally Identifiable Information (PII) of patients from barcodes to safeguard patient privacy. This functionality enables you to generate patient barcodes containing the identifiers or attributes that would enable you to trace back to the patient without disclosing sensitive patient data to unauthorized users.

  • Process Test Requests in a Batch: You can now accept or reject multiple test requests in a batch, enabling you to quickly initiate the processing of multiple requests as soon as you receive them, reducing turnaround time. This functionality is particularly useful for laboratories receiving hundreds of test requests on a daily basis.

  • Batch Import Samples to Storage: You can now batch import samples of various types from a file directly to the storage units in CloudLIMS. Based on the sample type, the samples are automatically sorted. This functionality enables you to seamlessly import and assign storage locations to multiple types of samples you manage in your biobank or laboratory, saving time, effort, and reducing manual errors.

  • Select Analytes for Doughnut Chart: You can now include analytes of interest in the doughnut chart while reporting test results. You can save the analyte selection for the doughnut chart as a part of the analyte report template for using it over again, saving time. This functionality enhances the reporting flexibility and enables you to personalize test reports based on the reporting requirements that may vary from one customer to another.

  • Enhanced REST API: The latest version of CloudLIMS’ REST Application Programming Interface (API) enables your customers to place test requests using the API. This functionality enables you to provide an alternative mechanism to your customers.


CloudLIMS Version 1.99 Released

The new version includes the following:

  • Custom CoA Format Support: You can now generate test reports and CoAs in custom layouts using CloudLIMS' new report formatting functionality by providing minimal dynamic inputs. You can place images, logos, barcodes, result tables, charts anywhere on the report per your preference to enhance data visualization and for meeting the varied report format demands of your customers. Our team can preconfigure and deploy multiple report templates, changing the layout of the report as per your preference, helping you get started in no time. This functionality strengthens the reporting flexibility, simplifies the report generation process, and supports on-demand reporting.

  • Associate Catalogs with Customer Records: You can now associate one or multiple catalogs belonging to different types of services offered by your laboratory with each customer record. Once associated, your customers can view and select only specific catalogs while placing a service request from CloudLIMS’ client portal. This functionality enables you to offer different pricing to your customers depending on their organization type (academic or commercial), geographic location, or on your business relationship.
  • Autocapture Sample Storage Date and Time: CloudLIMS now automatically captures the date and time of storing a sample, aliquot, or derivative. When you are adding samples individually or in a batch, or importing them from a file, the storage date and time is auto-recorded if you have selected a storage location. You can include the storage date or time or both while configuring barcodes or label templates. This functionality enables you to track samples based on their storage date and time and take necessary actions, such as performing quality checks and stability tests.

CloudLIMS Version 1.98 Released

The new version includes the following:

  • Manage Laboratory Workflows: You can now organize and streamline your laboratory workflows with ease. You can configure workflow templates using a series of steps to mirror your laboratory workflows. To create a workflow template, you can add steps to guide your staff on the specific workflow to be followed while processing each sample. A step number is assigned automatically to each step. While configuring each step, you can select a module, a module type, an action item, a category, a technician who is trained on the job, and specify instructions if any. Once a step is added, you can define the next steps to be performed. You can add a new workflow template, edit or delete an existing template, and associate one or multiple sample types with each template.

    Laboratory technicians can commence the workflow according to the tasks assigned to them. Once a step is assigned, an authorized user can specify the start date and the completion date of each step. After completing a step, a user can mark the status as complete. A technician can perform the step assigned to them only if the previous steps in the workflow (if any) are complete. This functionality enforces the laboratory staff to follow standard operating procedures (SOPs) as per the laboratory guidelines and to avoid missing any crucial step required.

    Once all the steps defined in the workflow are complete, an authorized user can mark the overall workflow status as complete. Once a workflow is marked as complete or is terminated, it cannot be edited by any user unless unlocked. This functionality enables you to monitor the sample processing status and track the current processing stage of each sample. Furthermore, you can easily track any deviations from the specified SOPs.

  • Extended Client Portal Services: Your customers can now import sample records in a batch from CloudLIMS' client portal using the import functionality. The sample attributes such as current quantity, collection date, and the associated data such as subject ID, are added to CloudLIMS if the data is present in the file (MS Excel or CSV) and mapped with the attributes present in CloudLIMS. Similarly, your customers can import patient records in a batch from CloudLIMS' client portal along with demographic data of patients and associate them with samples with just a few clicks. This functionality reduces the time, errors, and effort involved in entering sample or patient records manually when your customers are submitting hundreds of samples at a time for tests or storage.
  • Batch Patient Record Update: You can now quickly update thousands of patient records in CloudLIMS. The mapping window facilitates the automatic mapping of the file headers with the patient attributes present in CloudLIMS. You can save the mapped selection as a template for using it over again. Once the file is successfully imported, all metadata associated with each patient record, such as samples, inventories, is automatically updated in CloudLIMS. This functionality significantly reduces the time and efforts required to manually update individual patient records, besides reducing transcription errors.
  • Associate a Patient with a Service Request: You can now associate a patient with a testing or storing service request. You can show or hide the patient attributes on the service request form. While adding training records, you can add the start and the end date of training, the status of training, name of the trainer, and associate staff who would undergo the training. You can send email notifications to staff regarding the training schedule or training cancellation to keep them informed. You can batch import multiple training records from a file, reducing the time and efforts involved in manually entering the records. For each training record, you can mark the competency of staff who participated in the training.   • Send Documents for Review: You can now select one or multiple approvers for a document, send out the document for review, and publish it after approval. Unless approved, the document is not made available for association with a sample or a test. CloudLIMS automatically sends an email notification to each reviewer when a document is sent for review. The latest version of CloudLIMS is equipped with a new document management module that enables efficient management and indexing of laboratory documents, both internal and external. You can either add a single document or a folder, which in turn may contain multiple documents. You can view the properties of each document or folder such as the folder or document ID, date and time of document creation or modification, custodian information, etc. You can assign role-based document access rights to laboratory personnel and enable them to securely access important documents, without any apprehension of document loss or misplacement. You can exercise version control which helps in tracking the revision history of documents, which is crucial for internal and external auditing and reporting. The document revision history helps in monitoring document updates and provides all pertinent details such as the date and time of document replacement, version number, the staff who updated documents, the reason for document update or replacement if any. This eliminates any chances of referring to obsolete documents. Furthermore, you can delete documents that are irrelevant, invalid or are no longer in use.
  • Associate Documents with Tests and Samples: You can associate one or multiple documents with each sample or test type. All samples or tests present under the type get associated with the selected documents. This functionality enables authorized personnel to quickly access documents for a specific test or sample type.
  • Set Test Turnaround Time Alert: You can set reminder alarms to receive timely alerts if the Turnaround Time (TAT) of a test approaches the threshold TAT. Additionally, you can configure CloudLIMS to send email alerts to the master administrator and other designated users. This functionality enables laboratory managers to take necessary measures in order to complete a test under the threshold time, thereby enhancing laboratory efficiency and maximizing customer satisfaction.
  • Configure Catalogs Containing Different Test Types: You can now configure catalogs to associate with multiple test groups and test codes, enabling you to create unique testing packages for your customers. Furthermore, while configuring catalogs, you can select your analytes of interest to be associated with each test group and test code. In the Services and Billing module, you can now associate multiple catalogs with each test request, providing you the flexibility to add custom test requests based on the requirements of your customers.

  • Kits Module: Create kits, manage stock and track shipped kits to facilitate sample collection from multiple sites with this new module in CloudLIMS.

    You can configure inventory templates for each kit type, with a defined set of consumables and reagents, and their counts. While creating kits, the templates triggers an automatic deduction of the inventory items from the stock. You also get automatic alerts when the supplies need to be reordered.

    Create unlimited Kit types and customize the contents of a kit based on the requirements of your testing sites without having to manually select the items from the inventory. Associate the kits with an outgoing package to monitor shipping.

    Additionally, you can generate a comprehensive custom report to include records of kits, their components and their shipping status in a PDF or MS Excel file format, for your audits.

  • Manage Instrument Calibration and Maintenance Data: Instrument calibration is essential for traceability of reported test results and to ensure the accuracy of test results. ISO/IEC 17025:2017, regulatory compliance applicable to all testing and calibration laboratories, mandates maintenance of detailed calibration records of all analytical equipment that can influence laboratory test results. The records shall include an identity of the equipment, serial number, model number and manufacturer of the equipment, the current location of the equipment, dates of the last and the next calibration and maintenance, the period of validity or warranty, etc. The latest version of CloudLIMS is equipped with an Instrument Calibration & Maintenance module to maintain a record of laboratory instruments and information of their calibration and maintenance history. You can configure a new type of equipment and batch import records of all laboratory equipment and their components from a file. You can set calibration and maintenance reminder alarms to ensure timely calibration. Furthermore, if any equipment or its component is no longer in use, it can be marked as inactive.   • Exponential Notation of Numeric Values: You can now configure CloudLIMS to represent numeric values in exponential format. The exponential notation of numeric values simplifies the representation of numbers that are either too big or too small to be conveniently written or reported.
  • Flexible Flag Configuration: For qualitative and quantitative tests, you can configure flags for each flagging set, providing greater flexibility to flag abnormal test results based on the selected flagging set. For quantitative tests, you can rename the default flag names to match the standard flags you use, preventing them from being overlooked.
  • Enhanced File Attachment Limit: You can now attach up to 10 files with each record across all modules. This enables quick access to a larger number of documents such as Standard Operating Protocols (SOPs), laboratory developed methods, experiment notes, images, consent forms, whenever required.
  • Import Study Records in a Batch: Batch import of the study records from a file is now possible with CloudLIMS. This functionality reduces the time, errors and effort involved in entering the records manually. The study related data such as study status, created date, in-charge ID, and the associated data such as subject ID, is added in CloudLIMS if the data is present in the file and mapped with the attributes present, enabling efficient management of various studies performed by your laboratory.
  • Set Module Preference: When logging into CloudLIMS, if there is a module that you would like to start using straight away, it can now be set as the 'Default' module. This setting eliminates the need to switch to the desired module every time you log in and see the dashboard.

  • Send Test Reports as an Email Attachment: You can now email multiple test reports to your customers. Include all the email addresses of the recipients with each client record while adding or importing them in CloudLIMS. When the test reports are ready and approved, select the email addresses which should receive the report. CloudLIMS will email them the reports to the chosen addresses.
  • Read Test Data: The REST (or web-based) Application Programming Interface (API) for the Test module is now available, facilitating seamless integration of CloudLIMS with your analytical instruments. The REST API reads data in JSON format from CloudLIMS’s Test module which can be used for further downstream processing. For each test, select only those attributes that you would like to read and retrieve from CloudLIMS.
  • Client Portal Services Extended: Your customers can now enter samples from the Client Portal using scanners or barcodes, eliminating the need to enter them manually. Additionally, they can now batch edit samples, saving time.
  • Email Authentication for Notifications: The master administrator can have CloudLIMS verify the email address configured for notification settings.   • Import Aliquots or Derivatives: You can now import multiple aliquots or derivatives from a file, helping you save time to manually enter data and enabling their quick availability in CloudLIMS for testing and external distributions. The system generated or user-specified parent sample ID is used for associating the aliquots or derivatives with the parent samples and for auto-updating the genealogy, facilitating quick tracking of the aliquots or derivatives in the system. The meta-data related to aliquots or derivatives, such as barcode ID, storage location, subject ID, inventory ID, study ID, etc., is updated in CloudLIMS if the data is present in the import file and mapped with the attributes specified in CloudLIMS, enabling efficient data management and interlinking with the other modules.
  • Report for Multiple Tests: Modern testing laboratories perform a number of tests on a day-to-day basis. Based on the clients' reporting requirements, they may need to generate comprehensive test reports containing concise and accurate test results. You can now generate a single comprehensive report for multiple tests, each of which may have one or more samples of same or different types, enabling you to better meet the reporting requirements of your clients. The test reports generated in MS Excel file format facilitate quick downstream processing of test results.
  • Configure Report Template: You can now configure report templates for each module type. For example, you can configure multiple report templates for each test group and test code and set your preferred template as the default. Similarly, you can configure sample or subject report templates for each sample or subject type. The report template enables you to select the attributes that you would like to include in your report with a click of a button.   • Manage Test Results of Quality Control (QC) Samples to Identify Analytical Errors: QC samples are critical for ensuring the reliability and accuracy of test results. To check any potential issues, such as improper calibration of analytical equipment, faulty reagent kits, etc., that may adversely impact the accuracy of test results, QC samples are subjected to the same treatment as the test samples to validate the test run. This procedure enables testing laboratories to report consistent, accurate and comparable results. While configuring a new sample type in CloudLIMS, you can now classify the sample type as a QC sample. You can add multiple samples under the QC sample type, enter test results for each, and save the results as a template if you would like to use the same set of QC samples in the future. You can also include the QC sample test results in the test report to report for quality assurance.
  • Enhanced Graphical Reporting Flexibility: You can now include the flagging range for each analyte either above or below the bar graph, depending on your result reporting requirement. The analyte names and their observed values are now included just below each bar in the bar graph, providing a visual overview of the test results.
  • Client Portal Services Extended: After logging in to the client portal, you can now associate a subject with each sample added, giving more control when logging samples. This functionality is also particularly useful for collections sites to specify the source while registering samples.

  • Validate Test Results: In the validation process, the goal is to ensure that the test methods and the results are verifiable with respect to representativeness, reproducibility and repeatability. With CloudLIMS, you can configure a test validation process, send multiple results for validation, select a verifier, track the validation status, thereby assuring the final test results. The laboratory manager or the approving authority can either approve or reject the test results, note their observations and write their remarks. This functionality helps testing laboratories assure the test results before the report is submitted to clients, an important requirement of ISO 17025:2017.
  • Enhanced Reporting Flexibility: You can now choose either a vertical or horizontal view for reporting analytes and their test results, providing the flexibility to report results as per your preference. Additionally, you can exclude or include a particular section from the test report and save it as a template for generating further test reports.
  • Dispose of Parent Samples Associated with Aliquots or Derivatives: You can now dispose of parent samples from which you have created aliquots or derivatives, without affecting the genealogy of the associated aliquots or derivatives. This helps in discarding those parent samples which are either no longer in use or are exhausted.
  • Edit or Delete Catalogs: This functionality enables you to edit catalogs that were created for the services your laboratory offers. You can now update the information and delete them from CloudLIMS, if those services are modified or discontinued.
  • Upload External Invoices for Your Clients: You can now upload invoices generated using any third-party billing software should you choose not to use the invoicing function in CloudLIMS. Once the invoices are uploaded, your clients can seamlessly access them over the client portal.

CloudLIMS Version 1.76 Released

  • Track Turnaround Time: Longer holding times can have an adverse impact on the quality of the time-sensitive samples, compromising the accuracy of test results. You can now monitor the test turnaround time (TAT) and determine if it is under the threshold. Based on the sample test start date and the test completion date, the turnaround status is updated. This statistic helps laboratory managers to take appropriate corrective measures if the TAT exceeds the threshold testing time, thereby assuring the quality of the test result.
  • Configure Color of Analyte Flags: You can now configure a color for each analyte flag, Optimal, High, Low, Critical High, Critical Low, enabling you to quickly identify the test analyte runs having abnormal or optimal observed values.
  • Include Analyte Flagging Graph in Your Report: You can generate a bar graph based on the analytes and their reference ranges. You can select either three (minimum, maximum, and optimal) or five (minimum, maximum, optimal, critical low and critical high) flagging range option. Based on the final result values of each analyte, a bar graph is generated. The graph has analytes on its x-axis and the flags on its y-axis. The graph proves to be an effective tool to monitor analytes within range and those deviating from the optimal values.
  • Flag Observed Values Based on a User-Defined Attribute: You can now configure the program to raise a flag based on the test results available in the user-defined test result column, providing an alternative to setting pre-configured flags. The user-defined attribute can either have a numeric value or a formula expression.
  • Include Newly Added Analytes to Existing Test Records: You can now choose to include new analytes in the existing test records or exclude them, based on your requirements.

  • Client Portal Services Extended: Your customers can now login and submit samples from the CloudLIMS Client Portal in addition to submitting test requests. When your customers submit samples for testing, the added samples show up as Expected samples and are marked as received upon their receipt in the lab. Your customers receive the status update via the portal, which helps them get information about their service requests in real time.
  • Service Catalogs: This add-on makes it easy for a client to browse through the test service catalog and order a test.   • Quick Test Creation and Results Entry: You can associate samples with a test while importing test results from a file. The results are auto-calculated based on the configured formula expression.
  • Batch Update of Samples: Update thousands of sample records quickly using the Batch Update action. You can also create predefined templates to import data by mapping the spreadsheet headers to CloudLIMS attributes/records. This functionality is specifically useful if you are receiving data from an instrument or any other facility in a predefined format.

  • Pool Samples to Create Derivative(s) or Aliquot(s): With CloudLIMS, you can now pool samples belonging to the same type, obtained from different runs, and same patient or sample source in order to create one or more derivatives or aliquots. Pooling helps clinical and testing laboratories reduce experimental costs by eliminating the need for sample preparation, processing, and testing for samples belonging to the same type and patient, besides reducing analytical run times. While pooling samples, you can choose to consume the entire amount of each parent sample or define the total quantity to be consumed from each sample.
  • Configure Advanced Calculations For Attributes: Two new operators, square root function and percentage, can now be used for defining a formula expression for a new attribute, enabling accurate calculation of complex test results.

  • Automatic Test Result Calculation: You can now import sample test results from .csv or .xlsx file formats. The test results data could contain results from tests on multiple analytes. The raw results can be transformed to meaningful data using formulae which you can key in the test results calculation field.   • Account Lockout: You can now set the number of failed login attempts for locking out a user. Once a user is locked out for trying to log-in multiple times and failing, only the administrator can unlock it by resetting the password.   • XML Format for API-Data Retrieval: The CloudLIMS API (via REST services) which was released recently for easy data retrieval from Samples, Subjects, Studies & Lab Inventory modules, now supports XML format as well.
  • Automated Aliquot Data Entry: The new version enables copying of information from parent samples to aliquots/derivatives for selected attributes, avoiding the need to enter data that is already available in the system.
  • Expanded ModuleID Preferences: You can now use a “hyphen” character in the ModuleID prefix to designate module specific data.

CloudLIMS Version 1.59 Released

The new version includes the following:

  • CoC in Test Module: While you transfer a test to another user, you now have the option to receive/send notifications, include a digital signature for authentication, and assign rights to users for the transferred tests. This functionality helps manage the Chain of Custody (CoC) for qualitative and quantitative tests.
  • Virtual Storage Creation: To create storage units of a defined capacity or shape, you can now disable certain wells while assigning storage locations to samples. This functionality is also useful for reserving space for incoming samples.
  • Archival of Samples based on Status: You can now archive and store less frequently used sample data separately, based on their status (such as shipped etc.).
  • Multi-select/ List Attribute Creation: To have more than one value for an attribute, you can now configure a list from which multiple values can be selected while entering data in a form.

  • Diversified Data Type Configuration for Attributes: This enhancement provides users with greater configurability, scalability, and standardization. You can now configure attributes and make data entry easier using pre-loaded radio buttons, check boxes, spinners, combo-lists options. You can also define an attribute type with a minimum and maximum character length.
  • Enhanced Sample Form Configuration: This feature allows you to configure forms specific to each sample type, just as a template, so that samples can be added using the form over and over again.

CloudLIMS Version 1.30 Released

  • Batch Import: You can now upload multiple samples, subjects, storage units etc in a batch into CloudLIMS by using this import functionality. The mapping template facilitates automatic mapping of similar column headers from the import file (.xls or .csv) with the attributes in CloudLIMS. You can also map the headers with different names manually and save the mapped settings as a template for future use. After uploading the data, all the corresponding meta-data is linked. Also, your imported data file log is maintained for future reference. A detailed error log enables you to reprocess your import file, in case the import fails.
  • Improved Subject Form Configuration: This configuration allows for storing of patient data or any source of sample such as plants, animals etc as needed by your laboratory workflows. You can now create new sections and configure attributes in each new section in the subjects form to store and logically organize more information as per your collection system.
  • Audit Trail Configuration: This feature helps the admin user to enforce electronic signatures for individual users while performing various laboratory operations in the program.
  • Units Configuration: You can now configure new units of measurement and define the measurement parameters and conversion formula for the units entered in CloudLIMS.

  • Derivatives: Create derivatives of a new type from an existing sample or an aliquot type.
  • External Module IDs: You can now define your own Module ID to be associated with the data and can use it as a criterion while performing a search across the database. CloudLIMS assigns it own ID anyways.
