BIOCOM Transforms Water Testing with CloudLIMS: A Journey from Spreadsheets to Digital Excellence

Home Resources LIMS Case Studies BIOCOM Transforms Water Testing with CloudLIMS: A Journey from Spreadsheets to Digital Excellence

Background

BIOCOM is a leading environmental research facility that provides advanced environmental testing services to clients across a wide range of industries. The company specializes in analyzing non-potable water, wastewater, air, and asbestos, employing artificial intelligence (AI) to ensure the accuracy and efficiency of its analyses.

Headquartered in New York City, USA, with an R&D department in Athens, Greece, BIOCOM is renowned for its expertise in seawater testing, wastewater analysis, air quality assessments, and asbestos testing. They employ advanced testing facilities and AI algorithms to provide their clients with highly accurate and detailed analyses of environmental samples.

BIOCOM’s testing services include analyzing parameters such as pH levels, dissolved oxygen, nutrients, organic matter, heavy metals, and microbial content for water samples. For air quality, they test for particulate matter and volatile organic compounds, while in asbestos testing, they perform air and bulk sample analyses. Their dedicated R&D department continuously innovates by incorporating AI technology into environmental testing, refining methodologies, and addressing emerging environmental challenges.

Challenges

BIOCOM, like many laboratories initially operating on a smaller scale, relied on manual processes and spreadsheets to manage their workflows. This approach was sufficient when sample volumes were low and regulatory requirements were less stringent. However, as their business grew and the demands for sample testing increased, the limitations of their manual system became apparent.

The laboratory found itself struggling to keep up with the influx of samples. Manual sample registration, test result entry, and Certificate of Analysis (CoA) generation were time-consuming and prone to errors. As a result, turnaround times for delivering analysis results to clients lengthened, impacting customer satisfaction and potentially hindering business growth.

Moreover, the laboratory faced increasing pressure to comply with stricter regulatory and quality standards. Manual processes made it challenging to maintain data integrity, traceability, and audit trails, which are essential for compliance.

These challenges warranted the urgent need for a Laboratory Information Management System (LIMS).

Solution

To overcome these challenges, BIOCOM began searching for a LIMS and requested a demonstration of CloudLIMS. Following a thorough evaluation, during which CloudLIMS consistently demonstrated its ability to fulfill their operational requirements, they selected CloudLIMS to digitize and automate their processes, thus initiating a successful partnership.

CloudLIMS implemented a customized solution tailored to BIOCOM’s requirements, addressing their operational challenges and enhancing their workflows. The CloudLIMS team conducted numerous training sessions to ensure seamless adoption of the system by BIOCOM’s users.

Key configurations for BIOCOM include the following:

  1. Sample Matrices and Test Types: CloudLIMS configured two sample matrices, Non-potable water and Drinking water, along with the requested sample attributes. Additionally, two sample-specific test types were set up—Microbiology of Non-potable water and Microbiology of Drinking water—containing corresponding analytes such as E.coli, Enterococci, Heterotrophic Plate Count, and Legionella.
  2. CoA Customization: They had a specific requirement for the CoA generation. They wanted the CoA to include a cover letter addressed to the client on the first page, followed by sample-specific analysis results on the second page. This page should include the client’s details, sample information, test specifics, and the approver’s signature. The third page was to include a scanned chain of custody (CoC) form. To meet this unique requirement, CloudLIMS configured the cover letter content as a user note at the beginning of the CoA and developed a solution to attach the CoC form as an external report, which could be emailed to the client along with the CoA. Furthermore, CloudLIMS implemented several modifications to their CoA template, including updates to attribute availability, design, and signatory details.
  3. Sample and Client ID Prefixes: CloudLIMS incorporated the requested changes to the sample and client ID prefixes, even after BIOCOM had added a substantial number of records, without causing any operational disruption.

Benefits Gained by BIOCOM

Implementing CloudLIMS transformed BIOCOM’s operations by digitizing their entire workflow, resulting in:

  • Enhanced Efficiency: Automated processes from sample registration to CoA generation significantly reduced turnaround times and minimized human errors.
  • Streamlined Compliance: Built-in quality management system (QMS) facilitated adherence to ISO 17025 guidelines, ensuring regulatory compliance.
  • Improved Productivity: Optimized workflows and reduced manual intervention enabled them to handle higher volumes of test requests efficiently.
  • Customized Reporting: Tailored CoA formats enhanced client communication and satisfaction.

CloudLIMS empowered BIOCOM to achieve operational excellence, positioning them to meet growing client demands and regulatory requirements effectively.
