• Seamlessly Track Returned Samples: You can now efficiently track samples that are shipped out (e.g., for testing) and then returned to the lab. You can initiate the return process by clicking the “Return Samples” icon and updating the returned sample’s quantity and unit. CloudLIMS automatically marks the “Returned Samples” attribute as “Yes” to provide a clear indication that the sample has been returned. The sample’s status is then marked as “received” when it arrives in the lab. This functionality ensures that the sample’s current status is accurately reflected and maintains a comprehensive history of the sample’s journey, including shipment and return, for traceability and audit purposes. 
• Automate Release of Test Reports: This functionality significantly boosts efficiency by automating the release of test reports as soon as their corresponding PDFs are generated. This applies to both individual and batch report generation, and it functions seamlessly with both inbuilt and predefined report templates. Upon PDF generation, the reports are automatically released to CloudLIMS’ Client Portal, Patient Portal, and designated email recipients. Simultaneously, email notifications are triggered to ensure prompt communication with all relevant stakeholders. The benefits of this feature are multifaceted. Ensuring the rapid dissemination of time-critical test results enhances client satisfaction and reduces turnaround time. This feature is especially important for laboratories that handle a high volume of samples and those that need to provide instant reporting for urgent test requests.

• Manage the Lifecycle of Kits with Kit Status Monitoring: The latest version of CloudLIMS introduces a significant enhancement for managing the lifecycle of kits through kit status tracking. This new functionality allows for real-time monitoring and updating of a kit’s status, based on its current state and usage. Upon the initial addition of a kit into CloudLIMS, its status is automatically designated as “New,” indicating its unused and available state. As the kit is associated with a sample for testing, its status changes to “In Use,” signifying its active utilization.Once all reagents within the kit have been consumed, you can mark it as “Consumed.” This status serves as a crucial indicator that the kit is no longer available for further sample associations.
  

  Furthermore, the system also incorporates automated status updates based on the kit’s association with external processes. For instance, when a kit is linked to an outgoing package for shipment, its status automatically changes to “Shipped.”

• Kit Searches Using Barcode & Attribute Filters: The enhanced Kits module introduces a “Barcode Search Parameter” search field, enabling fast and precise kit record searches. This functionality allows searches for both all and specific kit types using barcodes or attributes. For instance, a lab technician managing kits for multiple studies can quickly locate specific records without sifting through hundreds of entries.You can select attributes such as Barcode ID, Kit Name, or Expiration Date from a dropdown list, input attribute values or barcode IDs in the search field, and filter results using the “Contains” or “Equals” options for substring or exact matches. The “Append Record(s)” checkbox, selected by default, enables the sequential display of multiple search results, while the “Reset” button clears all filters to restore the default unfiltered view. You can also directly scan barcodes for rapid retrieval of kit details.
• Automatic Inventory Deduction for Kit Usage: This functionality enables the automatic deduction of inventory items associated with kits when those kits are associated with samples in the Samples module, ensuring accurate tracking of kit inventory without manual intervention. This functionality provides flexibility for labs to prepare kits in advance without immediately affecting inventory levels, while still ensuring precise inventory updates when kits are used. For example, a cannabis testing lab prepares pesticide testing kits that include a vial of solvent A (1 unit), a vial of solvent B (2 units), and a set of extraction tubes (1 unit) from its inventory. When a batch of cannabis samples is logged into the Samples module for pesticide analysis, laboratory staff associate a kit with each sample. At this point, the system automatically deducts 1 vial of solvent A, 2 vials of solvent B, and 1 extraction tube from the inventory for each kit used. This ensures the inventory remains accurate and up-to-date, helping the lab efficiently manage consumables and avoid stockouts, which is critical for maintaining operational flow.

• Automatic Inventory Deduction Upon Sample Association: You can now associate multiple inventory items with a sample, specify the deduction quantity for each item, and upon saving the sample record, the corresponding quantities will be automatically deducted from the inventory. This automation eliminates manual intervention, streamlines inventory management, and accurately measures the inventory consumption. Consider a scenario where a sample requires 10 mL of a specific reagent for processing. A technician selects the required reagent from the inventory and associates it with the sample. Upon saving the sample record, CloudLIMS automatically deducts 10 mL from the available stock of that reagent. This automation not only saves time but also minimizes the potential for errors that could occur with manual inventory management. Furthermore, it helps laboratories optimize their resource utilization.

  This functionality enables efficient and accurate management of the kit lifecycle. This comprehensive tracking ensures that laboratory technicians always have access to accurate information about the availability and status of their kits.

• Date-Based Sequential Sample Group ID with Daily Reset: The latest version of CloudLIMS introduces a date-based sequential numbering system for the Sample Group ID, streamlining sample identification and enhancing traceability. Sample Group IDs are generated in the format YYMMDD####, where YYMMDD represents the date, followed by a customizable sequential number. The numbering resets daily, ensuring a unique ID for each day. All samples linked to the same service request and patient share the same group ID. For instance, if a laboratory receives a test order for a patient on January 23, 2025, containing three blood samples, all samples will share the same Sample Group ID (2501230001). The next day, new orders will begin with 2501240001. This functionality allows laboratory staff to group samples more effectively and locate all associated samples quickly, significantly improving efficiency in high-throughput laboratories.

  The system provides a one-time configuration option, including the character length for the sequential number (up to 9 digits) and enabling daily resets. This format standardizes sample tracking, and improves operational efficiency.

CloudLIMS Version 4.00 Released

• Place Sample Purchase Requests: The latest version enables your clients to submit sample purchase requests based on the study needs by selecting the required samples. Once the order is placed, a unique Request ID is automatically generated for seamless tracking throughout the process. Your clients can edit their requests until they are accepted by your lab, offering flexibility in managing orders. To prevent stockouts, the system automatically restricts requests for samples if the quantity exceeds availability. This enhancement streamlines the entire purchase process, making it more efficient, flexible, and user-friendly for you and your clients.
• Edit Approved Service Requests: You can now edit approved service requests, allowing you to modify test catalogs or panels associated with the request. This functionality provides the flexibility to add or remove tests from an existing service request, with automatic adjustments to pricing, ensuring accurate billing and streamlined service management. For instance, if a client orders a test package containing 5 tests, but only 3 tests are performed due to sample unavailability, you can remove the unperformed tests and adjust the invoice accordingly. On the other hand, in cases where a new test request is submitted for a sample already received in the lab, you can associate the new test with the existing service request. This eliminates the need for creating a new request, improving workflow efficiency and reducing administrative overhead. This functionality enables laboratories to provide accurate invoices based on the tests actually performed, reducing the chances of discrepancies and enhancing client satisfaction.
• Personalize Test Reports with Client Information: You can now include client details in the header of your test reports for a professional and personalized touch. You can select up to three client attributes, such as Company Name, Address, and Phone Number, to display. Furthermore, you can customize the layout by positioning the selected attributes to the left, center, or right, as per your preference. This functionality enables you to further tailor test reports or certificates of analysis based on the reporting requirements of clients and regulatory bodies. 
• Validate Test Results Faster: The latest version of CloudLIMS allows you to review and validate test results directly from the Result Entries screen. By eliminating the need to open and close the Result Entries screen back and forth, this functionality streamlines the validation process, saving time and enhancing convenience.
• Autogenerate Configurable External Sample IDs: You can now automatically generate external sample IDs in your preferred format. This functionality allows you to create simplified Sample IDs, ensuring consistency for enhanced sample tracking. For example, you can generate external sample IDs in a YYMMDDXX format, where XX represents the sequence of samples entering the lab on a given day. If the external sample ID is 24121125, it indicates that 25 samples were registered on December 11, 2024. This system allows you to efficiently track the number of samples processed on a specific day, simplifying record-keeping and operational workflows.
• Seamlessly Manage Sample Batches with Batch IDs: Effortlessly track and manage samples received in a batch using the new hyperlinked Batch ID feature. With this enhancement, you can instantly access all samples associated with the same Batch ID directly from the Samples and Test modules. Clicking on the Batch ID displays a consolidated list of all samples in the batch, providing a comprehensive view. For instance, a lab technician receiving a batch of 50 samples can click the Batch ID to instantly view all associated samples, saving time compared to manual filtering. In the Test module, hyperlinked Batch IDs allow you to directly access sample batch details, enabling cross-module referencing. • Efficiently Filter Test Orders Based on Their Status: The latest version allows both laboratory users and their clients to easily filter test orders based on their status, streamlining the management and tracking of orders. This functionality is available in both the Services and Billing module for you and the Client Portal for your clients. You can filter test orders using various statuses such as In-Process, Canceled, Completed, Rejected, In Queue, and Approved. Additionally, you can set your preferred status filter as the default, making it quicker and easier to filter orders. This functionality enables you to filter orders that are in progress and identify those exceeding the set turnaround time, allowing for timely corrective actions if necessary. You can also prioritize tasks more effectively, ensuring no order is overlooked or delayed. Similarly, your clients can easily filter rejected orders and review the rejection reason, helping them take corrective actions promptly and resubmit the order.

• Automated Unit Conversion for Submitting Test Results to Metrc: With this enhancement, CloudLIMS further simplifies submitting test results to Metrc by handling unit conversions, ensuring accuracy every step of the way. While submitting results to Metrc, an adjustment to the units might be required if the reporting units mandated by Metrc differ from the instrument-generated result units. For instance, test results might be recorded in percentage units but need to be submitted to Metrc in standardized units such as milligrams/gram. With CloudLIMS, calculation in the required unit happens seamlessly, so you do not have to worry about manual calculations. To achieve this, we have introduced a new section in CloudLIMS to capture all the details Metrc requires, including Strain ID, Strain Name, Item Category, and Metrc Sample Type, when adding samples. • Set a Default Sample Type for Placing Test Orders: Now, when placing a test order through CloudLIMS or its Client Portal, you and your clients won’t need to select the sample type each time. The new version enables you to preset a default sample type, obviating the need for manual selection and reducing unnecessary clicks.
• Configure a Default Page Setup for Label Design: The latest version allows you to select a preferred page setup as your default while choosing a design for printing labels. With the new default selection option, you only need to choose your preferred page setup once, and it will appear automatically with its preconfigured dimensions as the first selection each time you print labels. This functionality saves you time and reduces errors.

CloudLIMS Version 3.98 Released

Now, all your clients need to do is select one or more catalogs from the list available and press “Submit Order” to place a test order through CloudLIMS’s Client Portal. This means that you can see the most up-to-date payment status, displayed neatly in the ‘Quickbooks Payment Status’ column. This functionality eliminates the need to switch between CloudLIMS and QuickBooks to view payment status.
• Flexible Invoicing Options with QuickBooks Integration: This latest update ensures that if you’re using QuickBooks Online integrated with CloudLIMS, only the QuickBooks invoice is generated by default. However, in addition to your QuickBooks invoice, if you would like to use the inbuilt invoicing function in CloudLIMS to generate an invoice, it’s as simple as ticking a box. This functionality empowers you to selectively choose and generate an invoice using CloudLIMS as well when generating a QuickBooks invoice, allowing you more flexibility while invoicing. 
• Export Analyte Test Results From Diverse Tests in an MS Excel File: With this enhancement, you can now export analyte test results in an MS Excel file across multiple test types. This means you no longer need to generate separate reports for each test type. Instead, you can generate one XLS report with analyte results from all selected test types. So, no matter how diverse your tests are, you can consolidate all your test results in one MS Excel spreadsheet.
• Easily Find Configured Catalogs: With this feature, you can quickly find any catalog using the new Search option in the catalog configuration window. It eliminates the hassle of scrolling through endless catalogs while configuring them. You simply need to type a word or even just a letter in the Search bar, and as you type, CloudLIMS instantly filters and displays the matching catalogs from a long list of available catalogs, saving you time and making your workflow smoother than before.

You can set up templates with your preferred page dimensions, header, footer, common invoice details, and user notes to auto-fill details in your invoices, cutting down on repetitive manual data entry. Furthermore, you can add and save your signature to any template to avoid signing invoices manually, saving time. You can save multiple templates for each type of service request, update them as needed, delete old ones, and even set your favorite as the default. This feature eliminates the repetitive task of entering the same information over and over while generating invoices, expediting your billing process.  
• Easily Manage Tasks with New Status Filters: With CloudLIMS’ new task status filters, you can easily sort tasks by their status—pending, accepted, or rejected. This feature introduces three new status filters that will make managing your tasks easier than ever: With the “Pending” filter, quickly find all your pending requests in one place; see all the requests you have accepted with the “Accepted” filter; view all your rejected requests effortlessly with the “Rejected” filter. This functionality offers you the flexibility to report test results in your preferred file format, enabling you to better cater to the reporting requirements of your clients or regulatory bodies.
• Set Your Preference to Send Test Validation Emails: With this feature, the master administrator can configure how to deliver the test validation requests to an approver. If the “Individual” option is selected, and a lab technician sends two tests for validation, the approver will receive two distinct emails. On the other hand, if an approver or master administrator prefers a more consolidated approach, they can select the “Combined” option. • Configure Flags for Each Test Analyte: With this latest update, you can configure flags for each analyte instead of the entire set of analytes of a test type, allowing for more flexibility and precision. So, you can now configure flag names and colors based on specific detection and reporting limits for each analyte. For instance, let’s consider Analyte 1. If its ‘Flag Calculation’ field value falls below the detection limit, you can set the flag to “low” with a vibrant cyan color. For Analyte 2 of the same test type, if the value lies within the detection and reporting limits, the flag name can be set as “optimal” with a different color. Each analyte might have its own unique thresholds, thus CloudLIMS allows you to configure flags based on the minimum, maximum, critical low, and critical high values of an analyte, ensuring an accurate representation of each analyte in a test. • Flag Tests with Out-of-Spec TAT: CloudLIMS can now auto-calculate turnaround time for a test record using not only the attributes from the Test module but also the date attributes from the Samples module. This enhancement enables the utilization of sample date attributes to compute the turnaround time for a test. What’s more, you have the flexibility to select a preferred color to flag tests with turnaround times that fall outside the pre-defined limits. If the calculated turnaround time exceeds the threshold limit for a test, that specific test will stand out in your chosen color, making it easier for you to quickly spot it among the others.
• Copy Analyte Attribute Values of Tests with Ease: Now, you can effortlessly copy analyte attribute values from one analyte to one or more analytes, making your workflow smoother and more efficient. No more navigating through each analyte individually. All you need to do is select an analyte, choose the attribute(s) you’d like to replicate, and select analyte records to which you’d like to copy the values. CloudLIMS Version 3.89 Released

• Streamlined Sample Management with Unique Sample Group IDs: This feature enables you to manage all the samples drawn from a single patient on the same day. When multiple samples are collected from a patient on a given day, the system generates a unique “Sample Group ID” for them. This system-defined ID combines the patient’s information, the sample’s ID prefix, and the current date when the samples are added. This means the samples are neatly bundled together for easy identification. For instance, if your lab collects three samples (S1, S2, S3) from Patient P1 on October 4, 2023, the system will create the Sample Group ID “P1_S1_231004.” The best part is that the feature springs into action only if a specific toggle button in the application is switched on. So, if “Sample Group ID” is not needed, you can simply turn it off.
• Automated Patient-Centric Test Result Flagging: Test results can be flagged based solely on the analytes involved. However, they can also be flagged now based on patient details such as age and gender, which are critical factors when assessing health. With this enhancement, CloudLIMS can now automatically flag test results by considering patient details such as gender, species, or other values for which flagging is done. We have introduced a new intuitive button called “Configure flagging set based on subject,” which can be used to configure the flagging set after creating a flag. Based on the value of the selected patient attribute, the configured flagging set is fetched automatically. The flagging is executed in the result entry dialogue based on the Patient module attribute configuration.
• Associate Patients, Samples, and Test Orders Effortlessly: With this feature, a lab user or a physician can place a test order with an existing patient and with a new sample. They can also create a new patient and associate the same test order with a new sample. Essentially, this feature allows both the lab user and the physician to seamlessly register patients and samples and place test orders, all on a single, user-friendly page called the Order Test window.

The intuitive Show All Clients toggle button, nestled within the Client Preferences, grants you complete command over displaying or hiding client records. It’s as simple as a flick of a switch. If the toggle button is on, an additional Show All Clients button is available in the List of Available Data window that appears on clicking on the Associated Client attribute. Upon clicking the Show All Clients button, all the client records associated with the selected client type get elegantly displayed in the List of Available Data window. Alternatively, you can use the built-in context search functionality to swiftly locate specific client records with ease.
• Enhanced Inventory Association: With this feature, we have supercharged your application’s speed. You can now link inventory items with sample, test, and other module records faster than ever before. While associating inventory items with a record, for instance, a sample record, you can choose to selectively display inventory items associated with a particular inventory type only and configure your preference for subsequent inventory associations. Alternatively, you can harness the power of the context search functionality to quickly trace the inventory record you are looking for, saving time. So, no more sifting through countless inventory entries—our intelligent system enables you to locate what you need in a flash. That’s not all. The upgrade enables adding newly selected inventory records with existing inventory items effortlessly.
• View the Latest Saved Test Results: This version of CloudLIMS enables you to view the latest saved test results of the analytes associated with a specific sample. This means you’ll have instant visibility into the recent evolution of the test results. With this feature, as you enter new test results for a sample, you’ll effortlessly stay up to date with the latest saved test results for each analyte associated with the sample and can compare the old test results with the new ones.
• Selectively Use New Analytes: Now, you have the power to decide whether to include a newly added analyte to existing test records. By default, any newly added analyte is automatically applied to existing test records. However, if you prefer not to modify existing test records and exclude the new analyte from them, you can choose to do so.

CloudLIMS Version 3.80 Released

The new version includes the following:

• Enhanced Client Portal: The enhanced Client Portal now offers more flexibility with new configuration options. You can format hyperlinked text that appears on the Client Portal login page to give a more personalized experience to your clients. You can adjust the font size of the hyperlinked text, choose whether to display it in bold font and even choose from different font and background colors or make the background transparent. But that’s not all, we’ve also added new formatting options for text in the login title, subtitle, and footnote, including popular font types such as Arial Round MT Bold and Franklin Gothic Book. And to truly make your client portal unique, you can display both your client’s and CloudLIMS’ logos on the login page and home page of the client portal.
• Enhanced Configuration for Duration Attributes: The latest version of CloudLIMS provides you complete control over the visibility and requirement status of the duration attributes. You can make the duration attribute mandatory or non-mandatory in the subject form. Furthermore, you can also choose to show or hide the attributes in the tabular view of the Subjects module. This functionality enables you to track the age of a subject in trial in years, months and days, so that for a follow up activity, you always have the age current automatically, without having the need to calculate it each time the subject visits the lab. 
• Request History Listing: With the latest update, you can now receive, transfer, dispose of, restore, and dissociate samples from storage for all samples in your laboratory in one go by simply selecting All Samples type and performing the required actions. This means that you don’t have to undergo the hassle of switching between different sample types to perform these actions. We have improved the way you view test request history of a sample. Now, if one sample is associated with multiple request IDs, you can see all of the request IDs and not just the most recent one. This feature makes it easier to understand the history of tests requested for a particular sample. 
• Capture Sample Receipt Time: With this new feature, you can conveniently view the date and time of the received sample directly from the Samples module. The feature automatically captures the received date/time of the received sample(s) in the table view of the Sample module, streamlining your workflow and saving you valuable time. This also means you can estimate the completion of test report more efficiently and quickly. 
  
• Enhance Accountability of Laboratory Staff: You can now enforce your laboratory staff to acknowledge accessing published documents by making them digitally sign before they access any published documents. Furthermore, this functionality provides you with a more secure and efficient way to control access to documents. With document trace logs, you’ll be able to easily and quickly identify who has accessed a document, when they did so, and why, thereby ensuring staff accountability and complete transparency. By enforcing this process, you can ensure that your staff is aware of and responsible for the information they are accessing. This is crucial for regulatory audits.
• Special Character Support Extended: You can now enter and use several new special characters, including − ’ ⍺ β Δ δ aw ≤ ≥ ± ® § σ γ Γ Å ` ≠ | π © in CloudLIMS. You can use these characters  when adding or editing text attributes, such as analyte names and attribute names. This functionality further enhances the library of the special characters available for selection, offering you more flexibility while configuring text attributes.
• Client and Subject Association: With this new functionality, when you add a sample in the Samples module and associate it with a client and a subject, CloudLIMS creates an association of  the subject with the client that can be viewed in the Clients module. This means no more wasted time in creating an additional linkage or worrying about a wrong patient mapping due to manual linking. 
• Custom Record Sorting: With this latest update, you can now sort your records in a tabular display of the modules according to your preferred attribute. The feature allows you to sort the records in ascending or descending order based on the selected attribute values and save your preferred sorting order as a default for using it over again. With the ability to sort your records in a way that makes the most sense for your workflow, you can save time and increase productivity.
• Edit a Report Template Name: With this new feature, you can edit existing report template names, giving you greater control and flexibility in creating custom reports. The feature prevents creation of duplicate templates due to minor changes in the name of a template.
• No Notifications for Disposed of Samples: This feature solves the problem of receiving unnecessary alerts for samples that have already been disposed of. With this new update, you can mark a sample as disposed and the system will no longer create any alert notifications for it. Avoid the hassle of unnecessary alerts and enjoy a more streamlined workflow with our new disposed-of sample feature.

CloudLIMS Version 3.70 Released

The new version includes the following:

• Generate Comprehensive Services & Billing Reports: The latest version of CloudLIMS enables you to generate a comprehensive report of all services offered by your laboratory along with the billing information. This functionality enables laboratory managers and staff to quickly generate a report of all service requests received by the laboratory to date, for example, you can now generate a report for test requests and sample storage requests for a given month.
• Associate Documents with Study Records: You can now easily associate a document with all the records of the same study in a few steps, thus saving time. This functionality saves the effort of associating common documents with each record individually. Alternatively, you can associate a specific document, such as an Informed Consent Form, with a specific study record. Only approved, validated, and published documents in the Documents Module can be associated with study types and records, which prevents any rejected documents from getting associated.
• Associate Subjects with Studies in a Batch: Associating subjects with studies is now more convenient. While adding a new subject record individually or while importing multiple subject records from a file, you can associate each subject record with one or multiple study records using lab-defined or system-defined study IDs. Furthermore, you can update study records associated with existing subjects in a batch. The functionality makes it easy to associate multiple existing or new subjects with studies in one go instead of doing it individually for each subject, saving time and eliminating chances of manual errors.
• Enhanced REST API: The REST API is enhanced in the new version of CloudLIMS to support retrieving, sending, and updating files, such as images and documents, attached to sample records. These attachments can be exchanged among end users, clients, or third parties using CloudLIMS’ enhanced REST API. This functionality provides an alternative mechanism for users to update files in CloudLIMS’ Sample Management module.
• Associate Tests with Lab Inventory Templates: The latest version now enables you to associate a lab inventory template with a test type. Once a test type is associated with a template, CloudLIMS automatically deducts the amount of inventory typically consumed during a particular type of test depending on the default deduction quantity configured in the template. For instance, if 5 ml of a reagent is consumed for a particular test, the system automatically deducts 5 ml from the available inventory and reflects the reduced amount every time the test is performed. In addition to the automatic deduction, you can manually specify the inventory quantity to be deducted while entering test results to account for inventory consumed for a test. The functionality facilitates a quick, easy, and automatic way to keep the inventory stock updated in the system as opposed to having to manually deduct the inventory amount consumed each time a particular test is performed.
• Cross Module Referencing Extended to Context Search: You can now quickly run a context search to trace sample or test records using Client and Patient attributes. This functionality extends the context search functionality across modules and makes context search more versatile, enabling users to further refine search results to generate meaningful reports.
• New Time Format Support: A new time format, hour-minute (HH:MM), has been introduced, and CloudLIMS now supports the hour-minute time format in both 12-hour and 24-hour clock time. You can choose a preferred time format or change it as required.

CloudLIMS Version 3.60 Released

The new version includes the following:

• New Instrument File Format Support: With the new file format, Format 4, users can import an instrument-generated file having multi-analyte test results associated with the same sample ID or multiple sample IDs. The file import can be automated by integrating CloudLIMS with the instruments that generate test results in this format. This functionality enables easy association of all analytes extracted from one or more samples and import of analyte results into CloudLIMS by properly mapping analyte results with the respective sample IDs.
• Cross Module Referencing Extended: Eliminate the back-and-forth between the Sample, Client, and Test modules. While configuring test preferences, you can now choose to display attributes of samples and clients associated with the test records next to the test attributes. You can view system-defined sample and client attributes alongside the test attributes in the test record entries table for seamless referencing across multiple modules.
• Generate Instrument Maintenance Report: The new version offers the option to download or export the calibration and maintenance history of each instrument a laboratory houses. Instrument calibration and maintenance details, such as the name of the technician who performed calibration and maintenance, the last and the next calibration and maintenance date, and calibration and maintenance results, are recorded in the history. All this information can now be downloaded and exported in not just one but three file formats–PDF, MS Excel, and CSV. This functionality enables laboratories to quickly produce calibration and maintenance history of all lab instruments when requested during regulatory audits.
• Prevent Publishing a Rejected Document: The latest version of CloudLIMS eliminates the ambiguity caused due to accidental publishing of rejected documents. In the latest upgrade of CloudLIMS, a user cannot publish a document that has been rejected by an approver in a review cycle. This functionality makes rejected documents inaccessible to laboratory staff, preventing them from referring to incorrect guidelines, Standard Operating Procedures (SOPs), or training materials.
• Extended Special Character Support: You can now enter and use several special characters, including the Greek letter μ, while specifying the unit of formula expressions or numeric attributes. This functionality further extends support for the units available for selection when adding or editing a numeric attribute or a formula expression.
• Enhanced Login Functionality: The latest version of CloudLIMS puts the power in the hands of the clients, physicians, and patients. They can create and modify their login password on their own for accessing CloudLIMS’ client portal, physician and patient portal respectively, eliminating the need to contact laboratory staff, thereby saving time. The login credentials are encrypted which means that no one but the person creating or modifying the credentials can access them, further enhancing security. This functionality also enables laboratories to better meet compliance, such as EU GDPR and HIPAA, and assure 100% data privacy.

CloudLIMS Version 3.50 Released

The new version includes the following:

• Integrate with QuickBooks Online: CloudLIMS can now be integrated with QuickBooks Online, a popular third-party accounting software, using our REST Application Programming Interface (API) for bi-directional data transfer. The integrated solution enables laboratories to upload invoicing data, for example, the name and the address of the client, catalog number and price, quantity, and other required details, directly from CloudLIMS to QuickBooks. This functionality enables laboratories to easily manage their accounting data and client invoices, track the financial success of their business at any time, and ensure a better relationship with their clients.
• Enable Providers to Associate Patients: The latest version of CloudLIMS enables providers to associate themselves with existing patient records from the Provider Portal. After logging in to the Provider Portal, a provider can search for a patient record using a unique patient identifier. Once CloudLIMS traces the patient record, the provider can associate their record with the patient record without contacting the laboratory. This functionality prevents creating duplicate records for the same patient, and saves the provider’s and the laboratory’s time. 
• Track Report Sending Status: You can now track if released test reports were sent out to the intended recipients. If they are not, a failed notification pops up so that you can resend the test reports to specific customers, patients, and providers or verify the CloudLIMS email sending settings. This functionality enables you to track report sending status with ease, eliminating any chances of confusion between the laboratory and the report recipients.
• Receive Order Notifications: The latest version of CloudLIMS sends an email to you and your lab staff as soon as your customer places a test order from CloudLIMS’ client portal. Furthermore, your customer also receives a confirmation email once the order is placed. This functionality alerts laboratory staff as soon as a test request is received so that testing can be initiated without any delay, minimizing the turnaround time.  
• Highlight Non-Analyte Attributes on Reports: You can now highlight non-analyte attributes on a test report. Some examples of non-analyte attributes are sampling details, sample processing notes, result validation date and time, and interpretation of test results. This functionality enables laboratory users to highlight specific text or result interpretation on test reports to bring to the attention of their customers and providers who requested the tests.

CloudLIMS Version 3.40 Released

The new version includes the following:

• Enhanced Client Portal Services: Your customers can now easily place a test order for multiple samples from CloudLIMS’ Client Portal. Your customers can add multiple samples to the test order and associate each sample with the same or different test package. For each sample, the order can be placed for one or more test types, for example, cannabinoid test, heavy metal test, and other tests. After placing the test order, the samples are accessioned under the Samples module and the test order gets added as a request to the Services and Billing module of the Client Portal. Subsequently, your lab receives the test order for further processing and testing.Your customers can cancel the order if they accidentally place any incorrect test order. Your customers can now add samples and place a test order from the Samples module of the Client Portal, eliminating the need to switch to multiple modules, saving time and effort.
• Add a Date Infix to a Module ID: You can now add a date infix to a module ID, for example, a sample ID or a test ID. While configuring a module ID, you can include either year or both month and year as the date infix. You can choose to update the date infix based on the calendar changes or have it fixed. Furthermore, you can choose to reset the serial number of the module ID with every date infix update. This unique identifier system enables you to track, search, sort, and maintain year-wise or month-wise logs of samples, tests, and other records.
• Enhanced Sample & Subject Import Functionality: You can now associate samples with subjects using external or lab-defined subject IDs while importing sample records from a file. Similarly, you can associate subjects with samples using external or lab-defined sample IDs while importing subject records from a file. This functionality enables you to use your lab-defined IDs instead of system-defined IDs while associating sample and subject records.

CloudLIMS Version 3.30 Released

The new version includes the following:

• Affix Reviewer’s Signature on Reports: You can now include the reviewer’s signature on test reports and Certificates of Analysis (CoAs) along with a date and time stamp. The reviewed date and time are automatically captured and are non-editable. The signature can be retrieved automatically from the reviewer’s profile, eliminating the need to upload the signature each time to affix it digitally. You can position the signature either to the left or right of the approver’s signature. You can choose to include either the reviewed date or both reviewed date and time along with a custom text on the reports. Moreover, you can choose the position of the date and time stamp with respect to the reviewer’s signature or other signatures on the test report. This functionality enables you to comply with the 21 CFR Part 11 guidelines with ease.
• Generate Password-Protected Test Reports: The latest version of CloudLIMS enables you to generate password-protected test reports and certificates of analysis (CoAs) in PDF format. If you choose to generate a password-protected report, all lab staff members, the associated patient, and the associated physician or client need to enter the date of birth of the patient as the password to view the report. We have implemented security safeguards to prevent the editing of test reports or CoAs. This functionality enhances the security and integrity of the test reports, preventing unauthorized alteration of test results.
• Enhanced Turnaround Time (TAT) Calculation: While configuring an expression to calculate the turnaround time, you can now select the test result entry date and the result validation date. For example, you can define an expression to calculate the time lapse between the sample accessioning date and the test result validation date. As soon as the test results are validated, CloudLIMS captures the validation date and calculates the turnaround time based on the time lapse between the sample accessioning date and the validation date without any manual intervention. This functionality provides you the flexibility to choose additional activities or attributes per your requirement to calculate the turnaround time.
• Enhanced Reporting Flexibility: You can define subscripts and superscripts for text in the report title. You can define the alignment, font size, and font color of the inline view attributes and their respective values independent of each other. Furthermore, you can include an image, for example, an e-signature, at the footer of every page of a multi-page test report and Certificate of Analysis (CoA). You can define the width and the height of the image and choose to position the image inline to the left or right of the footer text. These reporting enhancements enable you to generate reports in multiple layouts and formats and meet diverse reporting requirements.
• Enhanced Show/Hide Functionality: You can now easily copy the attribute selection from one user role to multiple user roles and apply the selection for displaying in forms and the search list. This functionality eliminates the need to select attributes for display for each user role individually, saving time and effort.
• Concatenate Sample Attributes: You can now concatenate three sample attributes irrespective of whether they are system-defined or user-defined. You can define the number of characters of each attribute to be concatenated to form the resulting attribute. Furthermore, you can choose to include a space between the attributes after concatenation. For example, if you would like to concatenate the Sample ID, Barcode ID, and the Serial Number of each cannabis sample to define the corresponding Batch IDs, you can configure Batch ID as a concatenated attribute and select Sample ID, Barcode ID, and Serial Number as the concatenating attributes. As soon as you accession a new cannabis sample, CloudLIMS automatically generates the Batch ID of the sample based on the Sample ID, Barcode ID, and Serial Number, saving time and eliminating any chances of manual errors.
• Post Test Results to METRC^® With Ease: The latest version of CloudLIMS enables cannabis testing labs to generate test reports in the CSV file format for multiple tests associated with a sample and import the file directly to METRC^®, a state tracking system. This functionality enables cannabis testing labs to download test results per the METRC^® standard state template and remain compliant with the state regulations with ease. Furthermore, it reduces any chances of delay in result reporting to regulatory agencies, saving cannabis testing labs from penalties.

CloudLIMS Version 3.20 Released

The new version includes the following:

• Share Test Reports with Third Parties: The latest version of CloudLIMS enables you to automatically share test reports securely with third parties, including regulatory agencies, such as the Centers for Disease Control and Prevention (CDC), using Secure File Transfer Protocol (SFTP). You can configure SFTP details such as hostname, destination file path, username, password, port number, and source file path. While generating a test report in CSV and XLS file formats, you can choose to share the test report with a third party using SFTP and save the settings as a template for using it over again. Furthermore, you can view the status of the report transfer and initiate necessary actions in case of failure. This functionality eliminates any chances of missed reporting or delay in result reporting to regulatory agencies, third parties, and federal and state governments.
• Notify Test Report Release to Staff: You can now email test report release notifications to your laboratory staff as soon as the test reports are released to patients, clients, or both. This functionality eliminates the need for the users to log in to CloudLIMS to check the report release status, saving time. Furthermore, this functionality helps lab managers take timely actions if they do not receive the report release notification, enabling them to meet the predetermined turnaround time.
• Batch Reporting Flexibility: While sending test reports to patients and clients in a batch, you now have the option to not attach test reports to the email notification. This functionality provides you more control and flexibility while reporting results to clients and patients. Furthermore, this functionality helps you avoid non-compliance to regulations in some regions where reporting test results through email is not recommended or prohibited due to security reasons.
• Attach an External Report to Multiple Test Records: You can now select multiple test records associated with the same client or patient and attach an external report to all selected records. This functionality is useful when you need to upload an external report to more than one test record, saving time and reducing chances of manual errors.
• Build Context Search Templates: You can now save the preferred selections for context search as a default template for using it over again. This functionality saves time and effort by eliminating the need to select attributes, Boolean operators (AND, OR) and relational operators (less than, greater than, equal to) for recurrent context searches.
• View Sample Disposal Date and Time: You can now easily view the date and time of all disposed of samples in the Sample Management module. You can choose to show or hide the sample disposal date and time from the Sample Management module. Furthermore, you can include or exclude the disposal date and time from the sample reports. This functionality enables you to view the date and time of sample entry and disposal at the same place, eliminating the need to switch to different modules to view the information.
• Check-in & Check-out Samples Seamlessly: You can now check-in and check-out one or multiple samples from the Sample Management module irrespective of their storage location. This functionality eliminates the need to navigate to the Storage Management module and trace the storage container in which the samples to be accessed are present, saving time and effort.
• Notify for Batch Sample Addition: The latest version of CloudLIMS enables you to receive a consolidated email notification for adding multiple samples in a batch or importing samples from a file. For example, if you add or import 100 samples in a batch, you will receive one email notification with the details of all 100 samples. If 50 samples are associated with one custodian and the remaining 50 are associated with a different custodian, each custodian will receive one email notification with the details of all 50 samples associated with them. This functionality enables you to receive consolidated data of all samples added at a time, saving you from a cluttered inbox.
• Enhanced REST API: The latest version of CloudLIMS’ REST Application Programming Interface (API) enables you to enter and update test results of multiple analytes of a test type. This functionality provides an alternative mechanism to users to add or update analyte test results in CloudLIMS’ Test Management module.
