CloudLIMS Version 3.80 Released

The new version includes the following:

  • Enhanced Client Portal: The enhanced Client Portal now offers more flexibility with new configuration options. You can format hyperlinked text that appears on the Client Portal login page to give a more personalized experience to your clients. You can adjust the font size of the hyperlinked text, choose whether to display it in bold font and even choose from different font and background colors or make the background transparent. But that’s not all, we’ve also added new formatting options for text in the login title, subtitle, and footnote, including popular font types such as Arial Round MT Bold and Franklin Gothic Book. And to truly make your client portal unique, you can display both your client’s and CloudLIMS’ logos on the login page and home page of the client portal.
  • Enhanced Configuration for Duration Attributes: The latest version of CloudLIMS provides you complete control over the visibility and requirement status of the duration attributes. You can make the duration attribute mandatory or non-mandatory in the subject form. Furthermore, you can also choose to show or hide the attributes in the tabular view of the Subjects module. This functionality enables you to track the age of a subject in trial in years, months and days, so that for a follow up activity, you always have the age current automatically, without having the need to calculate it each time the subject visits the lab. 
  • Request History Listing: With the latest update, you can now receive, transfer, dispose of, restore, and dissociate samples from storage for all samples in your laboratory in one go by simply selecting All Samples type and performing the required actions. This means that you don’t have to undergo the hassle of switching between different sample types to perform these actions. We have improved the way you view test request history of a sample. Now, if one sample is associated with multiple request IDs, you can see all of the request IDs and not just the most recent one. This feature makes it easier to understand the history of tests requested for a particular sample. 
  • Capture Sample Receipt Time: With this new feature, you can conveniently view the date and time of the received sample directly from the Samples module. The feature automatically captures the received date/time of the received sample(s) in the table view of the Sample module, streamlining your workflow and saving you valuable time. This also means you can estimate the completion of test report more efficiently and quickly. 
  • Enhance Accountability of Laboratory Staff: You can now enforce your laboratory staff to acknowledge accessing published documents by making them digitally sign before they access any published documents. Furthermore, this functionality provides you with a more secure and efficient way to control access to documents. With document trace logs, you’ll be able to easily and quickly identify who has accessed a document, when they did so, and why, thereby ensuring staff accountability and complete transparency. By enforcing this process, you can ensure that your staff is aware of and responsible for the information they are accessing. This is crucial for regulatory audits.
  • Special Character Support Extended: You can now enter and use several new special characters, including − ’ ⍺ β Δ δ aw ≤ ≥ ± ® § σ γ Γ Å ` ≠ | π © in CloudLIMS. You can use these characters  when adding or editing text attributes, such as analyte names and attribute names. This functionality further enhances the library of the special characters available for selection, offering you more flexibility while configuring text attributes.
  • Client and Subject Association: With this new functionality, when you add a sample in the Samples module and associate it with a client and a subject, CloudLIMS creates an association of  the subject with the client that can be viewed in the Clients module. This means no more wasted time in creating an additional linkage or worrying about a wrong patient mapping due to manual linking. 
  • Custom Record Sorting: With this latest update, you can now sort your records in a tabular display of the modules according to your preferred attribute. The feature allows you to sort the records in ascending or descending order based on the selected attribute values and save your preferred sorting order as a default for using it over again. With the ability to sort your records in a way that makes the most sense for your workflow, you can save time and increase productivity.
  • Edit a Report Template Name: With this new feature, you can edit existing report template names, giving you greater control and flexibility in creating custom reports. The feature prevents creation of duplicate templates due to minor changes in the name of a template.
  • No Notifications for Disposed of Samples: This feature solves the problem of receiving unnecessary alerts for samples that have already been disposed of. With this new update, you can mark a sample as disposed and the system will no longer create any alert notifications for it. Avoid the hassle of unnecessary alerts and enjoy a more streamlined workflow with our new disposed-of sample feature.

CloudLIMS Version 3.70 Released

The new version includes the following:

  • Generate Comprehensive Services & Billing Reports: The latest version of CloudLIMS enables you to generate a comprehensive report of all services offered by your laboratory along with the billing information. This functionality enables laboratory managers and staff to quickly generate a report of all service requests received by the laboratory to date, for example, you can now generate a report for test requests and sample storage requests for a given month.
  • Associate Documents with Study Records: You can now easily associate a document with all the records of the same study in a few steps, thus saving time. This functionality saves the effort of associating common documents with each record individually. Alternatively, you can associate a specific document, such as an Informed Consent Form, with a specific study record. Only approved, validated, and published documents in the Documents Module can be associated with study types and records, which prevents any rejected documents from getting associated.
  • Associate Subjects with Studies in a Batch: Associating subjects with studies is now more convenient. While adding a new subject record individually or while importing multiple subject records from a file, you can associate each subject record with one or multiple study records using lab-defined or system-defined study IDs. Furthermore, you can update study records associated with existing subjects in a batch. The functionality makes it easy to associate multiple existing or new subjects with studies in one go instead of doing it individually for each subject, saving time and eliminating chances of manual errors.
  • Enhanced REST API: The REST API is enhanced in the new version of CloudLIMS to support retrieving, sending, and updating files, such as images and documents, attached to sample records. These attachments can be exchanged among end users, clients, or third parties using CloudLIMS’ enhanced REST API. This functionality provides an alternative mechanism for users to update files in CloudLIMS’ Sample Management module.
  • Associate Tests with Lab Inventory Templates: The latest version now enables you to associate a lab inventory template with a test type. Once a test type is associated with a template, CloudLIMS automatically deducts the amount of inventory typically consumed during a particular type of test depending on the default deduction quantity configured in the template. For instance, if 5 ml of a reagent is consumed for a particular test, the system automatically deducts 5 ml from the available inventory and reflects the reduced amount every time the test is performed. In addition to the automatic deduction, you can manually specify the inventory quantity to be deducted while entering test results to account for inventory consumed for a test. The functionality facilitates a quick, easy, and automatic way to keep the inventory stock updated in the system as opposed to having to manually deduct the inventory amount consumed each time a particular test is performed.
  • Cross Module Referencing Extended to Context Search: You can now quickly run a context search to trace sample or test records using Client and Patient attributes. This functionality extends the context search functionality across modules and makes context search more versatile, enabling users to further refine search results to generate meaningful reports.
  • New Time Format Support: A new time format, hour-minute (HH:MM), has been introduced, and CloudLIMS now supports the hour-minute time format in both 12-hour and 24-hour clock time. You can choose a preferred time format or change it as required.

CloudLIMS Version 3.60 Released

The new version includes the following:

  • New Instrument File Format Support: With the new file format, Format 4, users can import an instrument-generated file having multi-analyte test results associated with the same sample ID or multiple sample IDs. The file import can be automated by integrating CloudLIMS with the instruments that generate test results in this format. This functionality enables easy association of all analytes extracted from one or more samples and import of analyte results into CloudLIMS by properly mapping analyte results with the respective sample IDs.
  • Cross Module Referencing Extended: Eliminate the back-and-forth between the Sample, Client, and Test modules. While configuring test preferences, you can now choose to display attributes of samples and clients associated with the test records next to the test attributes. You can view system-defined sample and client attributes alongside the test attributes in the test record entries table for seamless referencing across multiple modules.
  • Generate Instrument Maintenance Report: The new version offers the option to download or export the calibration and maintenance history of each instrument a laboratory houses. Instrument calibration and maintenance details, such as the name of the technician who performed calibration and maintenance, the last and the next calibration and maintenance date, and calibration and maintenance results, are recorded in the history. All this information can now be downloaded and exported in not just one but three file formats–PDF, MS Excel, and CSV. This functionality enables laboratories to quickly produce calibration and maintenance history of all lab instruments when requested during regulatory audits.
  • Prevent Publishing a Rejected Document: The latest version of CloudLIMS eliminates the ambiguity caused due to accidental publishing of rejected documents. In the latest upgrade of CloudLIMS, a user cannot publish a document that has been rejected by an approver in a review cycle. This functionality makes rejected documents inaccessible to laboratory staff, preventing them from referring to incorrect guidelines, Standard Operating Procedures (SOPs), or training materials.
  • Extended Special Character Support: You can now enter and use several special characters, including the Greek letter μ, while specifying the unit of formula expressions or numeric attributes. This functionality further extends support for the units available for selection when adding or editing a numeric attribute or a formula expression.
  • Enhanced Login Functionality: The latest version of CloudLIMS puts the power in the hands of the clients, physicians, and patients. They can create and modify their login password on their own for accessing CloudLIMS’ client portal, physician and patient portal respectively, eliminating the need to contact laboratory staff, thereby saving time. The login credentials are encrypted which means that no one but the person creating or modifying the credentials can access them, further enhancing security. This functionality also enables laboratories to better meet compliance, such as EU GDPR and HIPAA, and assure 100% data privacy.

CloudLIMS Version 3.50 Released

The new version includes the following:

  • Integrate with QuickBooks Online: CloudLIMS can now be integrated with QuickBooks Online, a popular third-party accounting software, using our REST Application Programming Interface (API) for bi-directional data transfer. The integrated solution enables laboratories to upload invoicing data, for example, the name and the address of the client, catalog number and price, quantity, and other required details, directly from CloudLIMS to QuickBooks. This functionality enables laboratories to easily manage their accounting data and client invoices, track the financial success of their business at any time, and ensure a better relationship with their clients.
  • Enable Providers to Associate Patients: The latest version of CloudLIMS enables providers to associate themselves with existing patient records from the Provider Portal. After logging in to the Provider Portal, a provider can search for a patient record using a unique patient identifier. Once CloudLIMS traces the patient record, the provider can associate their record with the patient record without contacting the laboratory. This functionality prevents creating duplicate records for the same patient, and saves the provider’s and the laboratory’s time. 
  • Track Report Sending Status: You can now track if released test reports were sent out to the intended recipients. If they are not, a failed notification pops up so that you can resend the test reports to specific customers, patients, and providers or verify the CloudLIMS email sending settings. This functionality enables you to track report sending status with ease, eliminating any chances of confusion between the laboratory and the report recipients.
  • Receive Order Notifications: The latest version of CloudLIMS sends an email to you and your lab staff as soon as your customer places a test order from CloudLIMS’ client portal. Furthermore, your customer also receives a confirmation email once the order is placed. This functionality alerts laboratory staff as soon as a test request is received so that testing can be initiated without any delay, minimizing the turnaround time.  
  • Highlight Non-Analyte Attributes on Reports: You can now highlight non-analyte attributes on a test report. Some examples of non-analyte attributes are sampling details, sample processing notes, result validation date and time, and interpretation of test results. This functionality enables laboratory users to highlight specific text or result interpretation on test reports to bring to the attention of their customers and providers who requested the tests.

CloudLIMS Version 3.40 Released

The new version includes the following:

  • Enhanced Client Portal Services: Your customers can now easily place a test order for multiple samples from CloudLIMS’ Client Portal. Your customers can add multiple samples to the test order and associate each sample with the same or different test package. For each sample, the order can be placed for one or more test types, for example, cannabinoid test, heavy metal test, and other tests. After placing the test order, the samples are accessioned under the Samples module and the test order gets added as a request to the Services and Billing module of the Client Portal. Subsequently, your lab receives the test order for further processing and testing.Your customers can cancel the order if they accidentally place any incorrect test order. Your customers can now add samples and place a test order from the Samples module of the Client Portal, eliminating the need to switch to multiple modules, saving time and effort.
  • Add a Date Infix to a Module ID: You can now add a date infix to a module ID, for example, a sample ID or a test ID. While configuring a module ID, you can include either year or both month and year as the date infix. You can choose to update the date infix based on the calendar changes or have it fixed. Furthermore, you can choose to reset the serial number of the module ID with every date infix update. This unique identifier system enables you to track, search, sort, and maintain year-wise or month-wise logs of samples, tests, and other records.
  • Enhanced Sample & Subject Import Functionality: You can now associate samples with subjects using external or lab-defined subject IDs while importing sample records from a file. Similarly, you can associate subjects with samples using external or lab-defined sample IDs while importing subject records from a file. This functionality enables you to use your lab-defined IDs instead of system-defined IDs while associating sample and subject records.

CloudLIMS Version 3.30 Released

The new version includes the following:

  • Affix Reviewer’s Signature on Reports: You can now include the reviewer’s signature on test reports and Certificates of Analysis (CoAs) along with a date and time stamp. The reviewed date and time are automatically captured and are non-editable. The signature can be retrieved automatically from the reviewer’s profile, eliminating the need to upload the signature each time to affix it digitally. You can position the signature either to the left or right of the approver’s signature. You can choose to include either the reviewed date or both reviewed date and time along with a custom text on the reports. Moreover, you can choose the position of the date and time stamp with respect to the reviewer’s signature or other signatures on the test report. This functionality enables you to comply with the 21 CFR Part 11 guidelines with ease.
  • Generate Password-Protected Test Reports: The latest version of CloudLIMS enables you to generate password-protected test reports and certificates of analysis (CoAs) in PDF format. If you choose to generate a password-protected report, all lab staff members, the associated patient, and the associated physician or client need to enter the date of birth of the patient as the password to view the report. We have implemented security safeguards to prevent the editing of test reports or CoAs. This functionality enhances the security and integrity of the test reports, preventing unauthorized alteration of test results.
  • Enhanced Turnaround Time (TAT) Calculation: While configuring an expression to calculate the turnaround time, you can now select the test result entry date and the result validation date. For example, you can define an expression to calculate the time lapse between the sample accessioning date and the test result validation date. As soon as the test results are validated, CloudLIMS captures the validation date and calculates the turnaround time based on the time lapse between the sample accessioning date and the validation date without any manual intervention. This functionality provides you the flexibility to choose additional activities or attributes per your requirement to calculate the turnaround time.
  • Enhanced Reporting Flexibility: You can define subscripts and superscripts for text in the report title. You can define the alignment, font size, and font color of the inline view attributes and their respective values independent of each other. Furthermore, you can include an image, for example, an e-signature, at the footer of every page of a multi-page test report and Certificate of Analysis (CoA). You can define the width and the height of the image and choose to position the image inline to the left or right of the footer text. These reporting enhancements enable you to generate reports in multiple layouts and formats and meet diverse reporting requirements.
  • Enhanced Show/Hide Functionality: You can now easily copy the attribute selection from one user role to multiple user roles and apply the selection for displaying in forms and the search list. This functionality eliminates the need to select attributes for display for each user role individually, saving time and effort.
  • Concatenate Sample Attributes: You can now concatenate three sample attributes irrespective of whether they are system-defined or user-defined. You can define the number of characters of each attribute to be concatenated to form the resulting attribute. Furthermore, you can choose to include a space between the attributes after concatenation. For example, if you would like to concatenate the Sample ID, Barcode ID, and the Serial Number of each cannabis sample to define the corresponding Batch IDs, you can configure Batch ID as a concatenated attribute and select Sample ID, Barcode ID, and Serial Number as the concatenating attributes. As soon as you accession a new cannabis sample, CloudLIMS automatically generates the Batch ID of the sample based on the Sample ID, Barcode ID, and Serial Number, saving time and eliminating any chances of manual errors.
  • Post Test Results to METRC® With Ease: The latest version of CloudLIMS enables cannabis testing labs to generate test reports in the CSV file format for multiple tests associated with a sample and import the file directly to METRC®, a state tracking system. This functionality enables cannabis testing labs to download test results per the METRC® standard state template and remain compliant with the state regulations with ease. Furthermore, it reduces any chances of delay in result reporting to regulatory agencies, saving cannabis testing labs from penalties.

CloudLIMS Version 3.20 Released

The new version includes the following:

  • Share Test Reports with Third Parties: The latest version of CloudLIMS enables you to automatically share test reports securely with third parties, including regulatory agencies, such as the Centers for Disease Control and Prevention (CDC), using Secure File Transfer Protocol (SFTP). You can configure SFTP details such as hostname, destination file path, username, password, port number, and source file path. While generating a test report in CSV and XLS file formats, you can choose to share the test report with a third party using SFTP and save the settings as a template for using it over again. Furthermore, you can view the status of the report transfer and initiate necessary actions in case of failure. This functionality eliminates any chances of missed reporting or delay in result reporting to regulatory agencies, third parties, and federal and state governments.
  • Notify Test Report Release to Staff: You can now email test report release notifications to your laboratory staff as soon as the test reports are released to patients, clients, or both. This functionality eliminates the need for the users to log in to CloudLIMS to check the report release status, saving time. Furthermore, this functionality helps lab managers take timely actions if they do not receive the report release notification, enabling them to meet the predetermined turnaround time.
  • Batch Reporting Flexibility: While sending test reports to patients and clients in a batch, you now have the option to not attach test reports to the email notification. This functionality provides you more control and flexibility while reporting results to clients and patients. Furthermore, this functionality helps you avoid non-compliance to regulations in some regions where reporting test results through email is not recommended or prohibited due to security reasons.
  • Attach an External Report to Multiple Test Records: You can now select multiple test records associated with the same client or patient and attach an external report to all selected records. This functionality is useful when you need to upload an external report to more than one test record, saving time and reducing chances of manual errors.
  • Build Context Search Templates: You can now save the preferred selections for context search as a default template for using it over again. This functionality saves time and effort by eliminating the need to select attributes, Boolean operators (AND, OR) and relational operators (less than, greater than, equal to) for recurrent context searches.
  • View Sample Disposal Date and Time: You can now easily view the date and time of all disposed of samples in the Sample Management module. You can choose to show or hide the sample disposal date and time from the Sample Management module. Furthermore, you can include or exclude the disposal date and time from the sample reports. This functionality enables you to view the date and time of sample entry and disposal at the same place, eliminating the need to switch to different modules to view the information.
  • Check-in & Check-out Samples Seamlessly: You can now check-in and check-out one or multiple samples from the Sample Management module irrespective of their storage location. This functionality eliminates the need to navigate to the Storage Management module and trace the storage container in which the samples to be accessed are present, saving time and effort.
  • Notify for Batch Sample Addition: The latest version of CloudLIMS enables you to receive a consolidated email notification for adding multiple samples in a batch or importing samples from a file. For example, if you add or import 100 samples in a batch, you will receive one email notification with the details of all 100 samples. If 50 samples are associated with one custodian and the remaining 50 are associated with a different custodian, each custodian will receive one email notification with the details of all 50 samples associated with them. This functionality enables you to receive consolidated data of all samples added at a time, saving you from a cluttered inbox.
  • Enhanced REST API: The latest version of CloudLIMS’ REST Application Programming Interface (API) enables you to enter and update test results of multiple analytes of a test type. This functionality provides an alternative mechanism to users to add or update analyte test results in CloudLIMS’ Test Management module.

CloudLIMS Version 3.10 Released

The new version includes the following:

  • Enable Patients to Place a Test Request: Patients can now place a test request with your laboratory directly from CloudLIMS’ patient portal after self-registering themselves. While placing a test request, the patient will need to enter sample details, such as sample type, and select one or more tests. The test request gets automatically associated with the patient and sample(s) and a test record is created as soon as the patient places the test request. Laboratory staff members only need to process the sample(s) and enter test results. As soon as the test results are validated, approved, and released by the laboratory, patients can download the test report from the patient portal.
  • Filter Test Records for Approvers: The master administrator can now selectively display test types and test records to approvers. The approvers can view only the test types for which they are designated as approvers. Furthermore, the approvers can view the tests only when they receive them for review or approval. This functionality enables only the creators and approvers of a test to view it and perform actions based on their access rights. Furthermore, this functionality enables the master administrator to display only relevant test types and test records to approvers and restrict their access to authorized approvers only.
  • Enhanced Storage ID Assignment: The latest version of CloudLIMS automatically assigns the same external storage ID to all wells of a least storage unit as soon as you assign an external storage ID to the storage unit. A least storage unit is a storage container, for example, a box, within which no additional containers can be stored. This functionality eliminates the need to select individual wells of a container and assign IDs to them one by one, saving time and effort.
  • Notify Upon Receiving Samples: Your clients will now get notified from CloudLIMS once their samples reach your laboratory. This functionality enables you to send an acknowledgement to your clients upon receipt of their samples and they can further track the samples in the system for processing, testing or storage.
  • Easily Delete All Child Containers of a Storage Unit: You can now delete a storage container and all its child containers in a click. To do so, you need to simply select the parent storage container and tick the option to delete all its sub-containers. This functionality eliminates the need to individually select each subunit of a storage unit to delete them from the storage hierarchy, making the deletion process easy and time-efficient.
  • View Number of Attachments: You can now easily view the number of files or documents attached to each record in the instrument calibration and maintenance module. This functionality enables you to view the total number of attachments in each record by simply switching to the instrument calibration and maintenance module without the need to open individual records.
  • Enhanced Sample Assignment to Storage Units: As an enhancement to the graphical representation of non-least storage units, you can now perform storage allocation actions in the non-least storage units. A non-least storage unit is a storage container, for example, a freezer, or a compartment within which smaller containers can be stored. You will be able to view the exact replica of the freezer in the software with its child containers. You can now add containers stacked above one another or side by side as stored in the freezer or liquid nitrogen tank. You can now select a grid of your choice in the graphical view to store samples. The functionality is available from both the storage module and the sample module. With the help of the redirection arrow provided in the grids, you can navigate to the child storage from the storage view itself. Furthermore, you can select the preferred grid of a non-least storage unit while batch editing sample storage locations. This functionality enables you to more precisely assign samples to non-least storage units, batch edit storage locations of samples in non-least storage units, and easily navigate to the child storage units from the parent unit.

CloudLIMS Version 3.00 Released

The new version includes the following:

  • Concatenate Sample Attributes: You can now concatenate two sample attributes irrespective of whether they are system-defined or user-defined. You can define the number of characters of each attribute to be concatenated to form the resulting attribute. For example, if you would like to concatenate the Sample ID and the Serial Number of each cannabis sample to define the corresponding Batch IDs, you can configure Batch ID as a concatenated attribute and select Sample ID and Serial Number as the concatenating attributes. As soon as you accession a new cannabis sample, CloudLIMS automatically creates the Batch ID of the sample based on the Sample ID and Serial Number, saving time and eliminating any chances of manual errors.
  • Provide Data Import Templates to Your Clients: You can now share predefined templates for importing samples, patient records, and service requests with your clients through CloudLIMS’ secure client portal. Your clients can also create new templates while importing data for using it over again. This functionality enables your clients to simply select a template and map the attributes present in the attribute mapping window with the attributes present in their file to import necessary data before placing a service request. Furthermore, this functionality helps your clients to know what data your laboratory needs to process service requests, eliminating any chances of delay due to lack of required data.
  • Add Attachments to Sample and Patient Attributes: You can now select “attachments” while configuring patient and sample attributes and attach up to 5 files in diverse formats, such as XLS, CSV, PDF, JPEG, PNG, to each attribute. You can configure multiple such attributes. You can view the attached files, download them, make changes and reupload them whenever required. This functionality enables you to attach important files and documents, such as a photo ID, health insurance of a patient, prescription, test request form, images, to sample and patient records and quickly access them when required.
  • Enforce Password Change on Patient Portal: The latest version of CloudLIMS enforces patients to change their password after registering on the patient portal. After changing the password, patients have to relogin using the new password to access the patient portal. This functionality further strengthens the security of personally identifiable information (PII) of patients and prevents any unauthorized use of the patient data.
  • Show or Hide Catalogs: You can selectively display service catalogs to clients. You can choose to show or hide all catalogs if no catalog is associated with a client. This functionality provides you the flexibility to display only the relevant catalogs to a client based on the organization type (academic or commercial), geographic location, or your business relationship.
  • Enhanced REST API: The latest version of CloudLIMS’ REST Application Programming Interface (API) enables you to add, retrieve or update system-defined attributes in the Kits Management module. Furthermore, the API allows you to associate inventories, studies, patient and client records with kits. This functionality provides an alternative mechanism to update or modify kit records.

CloudLIMS Version 2.90 Released

The new version includes the following:

  • Client Portal Services Extended: Your lab’s customers can now print sample labels from CloudLIMS’ self-serve client portal. They can define the label and page dimensions, barcode/attribute orientation, label printing direction, and include attributes on the label before printing them. This functionality enables your customers to print labels and affix them on the samples before sending them to your laboratory, eliminating any chances of sample loss or manual errors. For example, a physician can print labels and affix them on samples as soon as they collect samples from patients and subsequently send the labeled samples to your laboratory for diagnosis. Your laboratory can simply scan the labels to accession the samples in CloudLIMS, saving time and costly errors.
  • Enhanced Storage Module View: You can now view non-least storage units graphically as per the defined dimensions. This functionality is particularly useful for biobanks and enhances their flexibility to exactly mirror their storage inventory. A non-least storage unit is a storage container, for example, a freezer, or a compartment within which smaller containers can be stored. You can assign custom labels to each row and column for easy identification and storage.

The approver’s signature is retrieved automatically from the approver’s profile along with other details, such as first name, last name, salutation, qualification, custom text, and a user-defined ID. You can define the font size and the alignment of the signature and save the settings as a template for using it over again.   • Import Dependency Attributes: You can now set the preferred value of the dependent attribute while importing data for the controlling attribute to the Samples module. If only one value is present for the dependent attribute, CloudLIMS automatically maps the dependent value with the controlling attribute while importing data from a file. This functionality significantly reduces the time and effort required to manually enter dependent values of a large number of samples, besides reducing transcription errors.
  • Default Templates for Instruments: You can now configure your preferred data import template as default for each instrument. If default templates are mapped to instruments, CloudLIMS automatically starts importing data from the instruments without the need to manually initiate the process. This functionality is particularly useful for laboratories using multiple instruments and enables them to configure a default template for each instrument as a one-time activity, thereby saving time.

  • Generate Test Reports in a Batch: You can now generate test reports and CoAs in a batch for multiple samples using predefined custom reporting templates. Each report contains the results of all tests performed on a sample. This functionality saves time and is particularly useful for analytical testing laboratories, such as cannabis, where they need to perform an array of tests on multiple samples on a daily basis and report results with a fast turnaround time.
  • Validation Timestamp on CoAs & Test Reports: You can now include the date and time of result validation on the test report or CoA. You can add a custom text next to the validation timestamp.   • Enable Authentication of CoAs or Test Reports: You can now include a QR code on Certificates of Analysis (CoA) or test reports to enable easy authentication. The QR code encodes a link to the original CoA or test report generated by a laboratory. You can define the position and alignment of the QR code on the report and save the settings as a template for using it over again. This functionality enables authentication of CoAs or test reports and is particularly useful for analytical testing laboratories, such as cannabis, and clinical diagnostics. For example, a customer purchasing a cannabis product from a dispensary can scan the barcode on the CoA and match the reported composition with the composition on the product label to ensure that the product has the same composition as claimed.

  • Family Registrations on Patient Portal: The portal is now enhanced to enable families to book tests and access reports. Parents or the guardian of minors or members of a family can use their email address to register all the patients of a family. A unique username needs to be specified for each patient at the time of registration. After a successful registration, each patient or their guardians can access the patient portal using the unique username and password to track the status of their test request or to download test reports as soon as they are released by the laboratory; however, all the reports are mailed to the email address provided at the time of registration. This functionality is particularly useful for patients interested in COVID-19 or other diagnostic testing services offered by your laboratory.
  • Generate Incoming or Outgoing Package Reports: You can now generate a custom report containing incoming or outgoing package details in an MS Excel or CSV file format. Furthermore, you can configure custom report templates and set your preferred template as default for future use. This functionality enables you to easily share the details of packages with your logistics staff and keep them informed about incoming or outgoing packages on a day-to-day basis.
  • Timestamp on CoAs & Test Reports: The latest version of CloudLIMS enables you to include a timestamp on CoAs or test reports based on the time at which the report is generated.   • Calculate Final Test Results: The latest version of CloudLIMS supports the calculation of experimental results obtained from analytical instruments to determine the final test results. This functionality is particularly useful for diagnostic laboratories, such as COVID-19 diagnostic laboratories. CloudLIMS helps quickly calculate the final test result values based on the results of positive and negative control samples read from the instruments, test samples, and predefined kit-specific formulas. Once the test results are imported in CloudLIMS from the instrument raw files, it performs the predefined calculations to determine the final test results, for example, positive, negative, or invalid in the case of COVID-19 results. The laboratory manager can subsequently validate the test results before releasing the test report. This functionality eliminates the need for the lab technician to collate data and perform complex calculations.
  • Generate & Export Training Competency Matrix: You can now generate a custom staff training and competency matrix and export it in an MS Excel file format. You can select one or multiple records of a specific training type or all training types for generating a training competency matrix. For creating a matrix, you can select a column header (for example, user ID), a row header (for example, training ID), and choose the preferred font size of the attributes. Furthermore, you can define a unique color for each training status and competency level per your preference, let’s say yellow for in-progress training and green for completed.   • Patient Self-registration: A patient can now securely register themselves on CloudLIMS’ patient portal for undergoing a diagnostic test, such as a COVID-19 test, directly from your website. While registering on the patient portal, a patient needs to fill out personal details, such as name, email address, date of birth, and gender. The registration form can be pre-set based on the lab requirements. After successful registration, the patient receives an email with a unique username and password using which they can securely log in to the patient portal. Additionally, the patient’s record is automatically created in the Patient module of CloudLIMS avoiding needless data entry and transcription errors. The patients can track the status of their test request on the patient portal.
  • Password Changing or Recovering Functionality: The patients can easily recover their password using their registered email address and the forgot password functionality if they do not remember their password. Additionally, the patients can change their password for accessing the patient portal. The password changing functionality minimizes the risks associated with security breaches and provides control to patients to safeguard their health information.
  • Securely Deliver Test Reports to Patients: You can now securely deliver test reports to patients through CloudLIMS’s patient portal. As soon as the test reports are available, they are automatically associated with the records of patients. Subsequently, you can select a patient record and release the test report. As soon as you release the test report, the patient receives an email notification. The patient can then securely log in to the patient portal and download the test report.

You can add a custom title, subtitle, and footnote to the login page and can define the font size, font type, and color of the text to match the look and feel of your website. You can add a custom text message and link it to a website of your choice.   • Selectively Display Patient Attributes: You can now show or hide patient attributes per your preference in the patient registration form.   • Autocapture Sample Storage Date and Time: CloudLIMS now automatically captures the date and time of storing a sample, aliquot, or derivative. When you are adding samples individually or in a batch, or importing them from a file, the storage date and time is auto-recorded if you have selected a storage location. You can include the storage date or time or both while configuring barcodes or label templates. This functionality enables you to track samples based on their storage date and time and take necessary actions, such as performing quality checks and stability tests.

  • Manage Laboratory Workflows: You can now organize and streamline your laboratory workflows with ease. You can configure workflow templates using a series of steps to mirror your laboratory workflows. To create a workflow template, you can add steps to guide your staff on the specific workflow to be followed while processing each sample. A step number is assigned automatically to each step. While configuring each step, you can select a module, a module type, an action item, a category, a technician who is trained on the job, and specify instructions if any. Once a step is added, you can define the next steps to be performed. You can add a new workflow template, edit or delete an existing template, and associate one or multiple sample types with each template.Once all the steps defined in the workflow are complete, an authorized user can mark the overall workflow status as complete. Once a workflow is marked as complete or is terminated, it cannot be edited by any user unless unlocked. This functionality enables you to monitor the sample processing status and track the current processing stage of each sample. Furthermore, you can easily track any deviations from the specified SOPs.
  • Laboratory technicians can commence the workflow according to the tasks assigned to them. Once a step is assigned, an authorized user can specify the start date and the completion date of each step. After completing a step, a user can mark the status as complete. A technician can perform the step assigned to them only if the previous steps in the workflow (if any) are complete. This functionality enforces the laboratory staff to follow standard operating procedures (SOPs) as per the laboratory guidelines and to avoid missing any crucial step required.
  • Extended Client Portal Services: Your customers can now import sample records in a batch from CloudLIMS’ client portal using the import functionality. The sample attributes such as current quantity, collection date, and the associated data such as subject ID, are added to CloudLIMS if the data is present in the file (MS Excel or CSV) and mapped with the attributes present in CloudLIMS. Similarly, your customers can import patient records in a batch from CloudLIMS’ client portal along with demographic data of patients and associate them with samples with just a few clicks.   • Batch Patient Record Update: You can now quickly update thousands of patient records in CloudLIMS. Once the file is successfully imported, all metadata associated with each patient record, such as samples, inventories, is automatically updated in CloudLIMS.   • Personalize the Client Portal Login Page: You can now customize the login page of CloudLIMS’ client portal to offer a personalized experience to your customers. Your customers can now directly login to the client portal from your website to download test reports or track the status of their service request. You can use your own logo for branding. You can add a custom title, subtitle, and a footnote to the login page and can define the font size, font type, and color of the text to match the look and feel of your website. You can add a custom text message and link it to a website of your choice. You can also insert a background image and define its size, and change the transparency of the login page to increase the visibility of the background image.
  • Perform Context Search from the Client Portal: Your customers can now log in to the CloudLIMS’ Client Portal and perform a context search to trace sample records based on the selected sample type and other search criteria defined by them.   • Reorder Documents or Folders: In the Document module, you can now reorder documents or folders to better manage your laboratory documents, manuals and SOPs. You can sort them alphabetically, reorder them date wise, or in any sequence per your requirements. This functionality enables you to quickly track documents and is especially useful during internal and external audits.
  • Automate Processing of Test Requests: You can now automate the processing of test requests once they are placed by your customers. Once you accept the test requests and assign them to a technician, the subsequent steps are automated for further processing.   • Import Flagging Sets From a File: You can now import flagging sets while importing test results from a file. The flagging set marks the acceptability of results. The flagging set information for each sample-analyte combination must be provided with each sample for a batch import of the sets along with the test results. This functionality eliminates the need for manually entering a flagging set for each sample, saving time and effort during the test set up process. Furthermore, this functionality helps prevent incorrect flagging of test results by reducing manual intervention.
  • Color Code Flags: You can now configure custom colors for each flag in a test result flagging set.   • Relative Quantitation: You can now represent the quantitative relationship between two analytes as a ratio in the test report.   • Training Module: Managing training and competency records of laboratory personnel is an important requirement of ISO/IEC 17025:2017, an international standard that specifies the general requirements for the competence of testing and calibration laboratories across the globe. To produce high-quality test results, it is important to ensure that only trained and competent staff performs analytical tests. The new Training management module of CloudLIMS enables laboratories to schedule and plan staff training. You can add, edit, and delete training records of laboratory personnel. While adding training records, you can add the start and the end date of training, the status of training, name of the trainer, and associate staff who would undergo the training. You can send email notifications to staff regarding the training schedule or training cancellation to keep them informed. You can batch import multiple training records from a file, reducing the time and efforts involved in manually entering the records. For each training record, you can mark the competency of staff who participated in the training. This helps laboratory managers to quickly identify staff members who are competent to perform an analytical test. Additionally, you can generate custom training reports in PDF or MS Excel file format in the preferred layout. You can assign role-based rights to laboratory users for adding, editing, or deleting training records, and for marking staff competency. CloudLIMS Version 1.86 Released

The new version includes the following:

  • Send Documents for Review: You can now select one or multiple approvers for a document, send out the document for review, and publish it after approval. This functionality helps testing laboratories to establish control over documents, enabling them to better meet the management system requirements of ISO/IEC 17025:2017 compliance. Unless approved, the document is not made available for association with a sample or a test. CloudLIMS automatically sends an email notification to each reviewer when a document is sent for review. Each reviewer can either approve or reject the document and enter their comments. The review status and comments are posted to the review log. After the document is approved, it can be published and associated with a sample or a test. This functionality ensures that each document is reviewed and approved by authorized personnel and the laboratory personnel does not refer to an obsolete document.

You can specify the label orientation, the margin between the primary rectangular and secondary circular labels, and the diameter of the circular label. This functionality provides flexibility to print labels of preferred shape and size.
  • Set Sample Pull-out Alerts: You can set reminder alarms to receive timely alerts if a sample approaches the specified pull-out date. Additionally, you can configure CloudLIMS to send email alerts to the master administrator and other designated users, thereby ensuring that a sample is pulled out on time for quality check. This functionality is particularly useful for laboratories performing stability tests to determine the quality of a sample as per their stability protocol. It helps laboratory managers ensure that a sample is of high-quality before it is sent to a customer for testing or used for research.
  • Enhanced REST API: The latest version of the REST Application Programming Interface (API) includes a context search functionality for reading data from CloudLIMS. You can now refine a search in the REST API using Boolean operators (AND, OR) and relational operators (less than, greater than, equal to) while reading data from CloudLIMS. You can select multiple attributes associated with a module type and use a combination of operators and search ranges to refine the search.   • Generate a Comprehensive Test Report: You can now generate a comprehensive test report containing results of all the tests performed on a sample. The report can be further expanded to include multiple samples and the tests performed on them. The tests may belong to different test groups and have different test codes. This functionality enhances the reporting flexibility, thereby enabling testing laboratories to meet diverse reporting requirements.
  • Improved Test Report Template: You can now set the font color and background color for report title and subtitle, column headers and section headers. The new version provides you greater flexibility in choosing the position of an image while generating a test report for a single sample. You can choose to include an image beside the client table, the test table, the sample table, the subject table, or the results table. In the sample information section, you can choose the inline view if you would like to report sample values next to the attributes. The text wrapping functionality enables you to define the character length after which you would like to wrap the text for various sections, such as client information, sample information, analyte and results, test and other information, etc. You can include a test result tag, for example, pass, fail, N/A, or a user-defined tag, for each sample test result. The enhanced test report template enables you to make several formatting changes to your test report, rendering it a more professional look.
  • Include Doughnut Chart in Test Report: You can represent analyte test results using a doughnut chart for quick data visualization. You can include either annotations or both annotations and legends in the doughnut chart. You can select an analyte attribute, for example, observed value, to represent each slice. You can also select an analyte attribute, for example, analyte ID or analyte name, to label the slice. Furthermore, you can define the size of the chart per your reporting requirements.
  • Improved Context Search Functionality: The new version enables you to perform advanced context search using Boolean operators (AND, OR) and relational operators (less than, greater than, equal to) in order to refine search results. You can select multiple attributes associated with a module type and different combinations of operators and search values to narrow down the search. This functionality enables you to view filtered and more meaningful search results in order to analyze data.
  • Configure Dependency for Auto-Calculation of Complex Test Results: You can now configure a correlation between a controlling analyte attribute and a dependent analyte attribute. To configure dependency, you can select one of the three categories, mapped value, replica, or formula expression. The mapped value category is for mapping controlling analyte attribute with the dependent analyte attribute. The replica category is for copying the value of controlling analyte attribute to dependent analyte attribute. The formula expression category is for defining a unique formula expression for dependent analyte and attribute. This functionality enables the auto-calculation of complex multi-analyte test results, saving time and eliminating manual errors.

  • Manage Documents and Exercise Version Control: Document management is an essential requirement of ISO/IEC 17025:2017 regulatory compliance, applicable universally to testing laboratories. The compliance requires testing laboratories to establish procedures to control and securely manage important laboratory documents such as Standard Operating Procedures (SOPs), validated standard test methods, drawings, manuals, normative reference documents, or any instructive document that laboratory personnel may need as a reference from time to time. The latest version of CloudLIMS is equipped with a new document management module that enables efficient management and indexing of laboratory documents, both internal and external. You can either add a single document or a folder, which in turn may contain multiple documents. You can view the properties of each document or folder such as the folder or document ID, date and time of document creation or modification, custodian information, etc. You can assign role-based document access rights to laboratory personnel and enable them to securely access important documents, without any apprehension of document loss or misplacement. You can exercise version control which helps in tracking the revision history of documents, which is crucial for internal and external auditing and reporting. The document revision history helps in monitoring document updates and provides all pertinent details such as the date and time of document replacement, version number, the staff who updated documents, the reason for document update or replacement if any. This eliminates any chances of referring to obsolete documents. Furthermore, you can delete documents that are irrelevant, invalid or are no longer in use.
  • Associate Documents with Tests and Samples: You can associate one or multiple documents with each sample or test type. All samples or tests present under the type get associated with the selected documents. This functionality enables authorized personnel to quickly access documents for a specific test or sample type.
  • Set Test Turnaround Time Alert: You can set reminder alarms to receive timely alerts if the Turnaround Time (TAT) of a test approaches the threshold TAT. Additionally, you can configure CloudLIMS to send email alerts to the master administrator and other designated users. This functionality enables laboratory managers to take necessary measures in order to complete a test under the threshold time, thereby enhancing laboratory efficiency and maximizing customer satisfaction.
  • Configure Catalogs Containing Different Test Types: You can now configure catalogs to associate with multiple test groups and test codes, enabling you to create unique testing packages for your customers. Furthermore, while configuring catalogs, you can select your analytes of interest to be associated with each test group and test code.   • Manage Instrument Calibration and Maintenance Data: Instrument calibration is essential for traceability of reported test results and to ensure the accuracy of test results. ISO/IEC 17025:2017, regulatory compliance applicable to all testing and calibration laboratories, mandates maintenance of detailed calibration records of all analytical equipment that can influence laboratory test results. The records shall include an identity of the equipment, serial number, model number and manufacturer of the equipment, the current location of the equipment, dates of the last and the next calibration and maintenance, the period of validity or warranty, etc. The latest version of CloudLIMS is equipped with an Instrument Calibration & Maintenance module to maintain a record of laboratory instruments and information of their calibration and maintenance history. You can configure a new type of equipment and batch import records of all laboratory equipment and their components from a file. You can set calibration and maintenance reminder alarms to ensure timely calibration. Furthermore, if any equipment or its component is no longer in use, it can be marked as inactive.   • Exponential Notation of Numeric Values: You can now configure CloudLIMS to represent numeric values in exponential format. The exponential notation of numeric values simplifies the representation of numbers that are either too big or too small to be conveniently written or reported.
  • Flexible Flag Configuration: For qualitative and quantitative tests, you can configure flags for each flagging set, providing greater flexibility to flag abnormal test results based on the selected flagging set. For quantitative tests, you can rename the default flag names to match the standard flags you use, preventing them from being overlooked.
  • Enhanced File Attachment Limit: You can now attach up to 10 files with each record across all modules. This enables quick access to a larger number of documents such as Standard Operating Protocols (SOPs), laboratory developed methods, experiment notes, images, consent forms, whenever required.
  • Import Study Records in a Batch: Batch import of the study records from a file is now possible with CloudLIMS.   • Send Test Reports as an Email Attachment: You can now email multiple test reports to your customers. Include all the email addresses of the recipients with each client record while adding or importing them in CloudLIMS. When the test reports are ready and approved, select the email addresses which should receive the report. CloudLIMS will email them the reports to the chosen addresses.
  • Read Test Data: The REST (or web-based) Application Programming Interface (API) for the Test module is now available, facilitating seamless integration of CloudLIMS with your analytical instruments. The REST API reads data in JSON format from CloudLIMS’s Test module which can be used for further downstream processing. For each test, select only those attributes that you would like to read and retrieve from CloudLIMS.
  • Client Portal Services Extended: Your customers can now enter samples from the Client Portal using scanners or barcodes, eliminating the need to enter them manually. Additionally, they can now batch edit samples, saving time.
  • Email Authentication for Notifications: The master administrator can have CloudLIMS verify the email address configured for notification settings.   • Import Aliquots or Derivatives: You can now import multiple aliquots or derivatives from a file, helping you save time to manually enter data and enabling their quick availability in CloudLIMS for testing and external distributions. The system generated or user-specified parent sample ID is used for associating the aliquots or derivatives with the parent samples and for auto-updating the genealogy, facilitating quick tracking of the aliquots or derivatives in the system. The meta-data related to aliquots or derivatives, such as barcode ID, storage location, subject ID, inventory ID, study ID, etc., is updated in CloudLIMS if the data is present in the import file and mapped with the attributes specified in CloudLIMS, enabling efficient data management and interlinking with the other modules.
  • Report for Multiple Tests: Modern testing laboratories perform a number of tests on a day-to-day basis. Based on the clients’ reporting requirements, they may need to generate comprehensive test reports containing concise and accurate test results. You can now generate a single comprehensive report for multiple tests, each of which may have one or more samples of same or different types, enabling you to better meet the reporting requirements of your clients. The test reports generated in MS Excel file format facilitate quick downstream processing of test results.
  • Configure Report Template: You can now configure report templates for each module type. For example, you can configure multiple report templates for each test group and test code and set your preferred template as the default.   • Manage Test Results of Quality Control (QC) Samples to Identify Analytical Errors: QC samples are critical for ensuring the reliability and accuracy of test results. To check any potential issues, such as improper calibration of analytical equipment, faulty reagent kits, etc., that may adversely impact the accuracy of test results, QC samples are subjected to the same treatment as the test samples to validate the test run. This procedure enables testing laboratories to report consistent, accurate and comparable results. While configuring a new sample type in CloudLIMS, you can now classify the sample type as a QC sample. You can add multiple samples under the QC sample type, enter test results for each, and save the results as a template if you would like to use the same set of QC samples in the future. You can also include the QC sample test results in the test report to report for quality assurance.
  • Enhanced Graphical Reporting Flexibility: You can now include the flagging range for each analyte either above or below the bar graph, depending on your result reporting requirement. The analyte names and their observed values are now included just below each bar in the bar graph, providing a visual overview of the test results.
  • Client Portal Services Extended: After logging in to the client portal, you can now associate a subject with each sample added, giving more control when logging samples. This functionality is also particularly useful for collections sites to specify the source while registering samples.

  • Validate Test Results: In the validation process, the goal is to ensure that the test methods and the results are verifiable with respect to representativeness, reproducibility and repeatability. With CloudLIMS, you can configure a test validation process, send multiple results for validation, select a verifier, track the validation status, thereby assuring the final test results. The laboratory manager or the approving authority can either approve or reject the test results, note their observations and write their remarks. This functionality helps testing laboratories assure the test results before the report is submitted to clients, an important requirement of ISO 17025:2017.
  • Enhanced Reporting Flexibility: You can now choose either a vertical or horizontal view for reporting analytes and their test results, providing the flexibility to report results as per your preference. Additionally, you can exclude or include a particular section from the test report and save it as a template for generating further test reports.
  • Dispose of Parent Samples Associated with Aliquots or Derivatives: You can now dispose of parent samples from which you have created aliquots or derivatives, without affecting the genealogy of the associated aliquots or derivatives. This helps in discarding those parent samples which are either no longer in use or are exhausted.
  • Edit or Delete Catalogs: This functionality enables you to edit catalogs that were created for the services your laboratory offers. You can now update the information and delete them from CloudLIMS, if those services are modified or discontinued.
  • Upload External Invoices for Your Clients: You can now upload invoices generated using any third-party billing software should you choose not to use the invoicing function in CloudLIMS. Once the invoices are uploaded, your clients can seamlessly access them over the client portal.

  • Track Turnaround Time: Longer holding times can have an adverse impact on the quality of the time-sensitive samples, compromising the accuracy of test results. You can now monitor the test turnaround time (TAT) and determine if it is under the threshold. Based on the sample test start date and the test completion date, the turnaround status is updated. This statistic helps laboratory managers to take appropriate corrective measures if the TAT exceeds the threshold testing time, thereby assuring the quality of the test result.
  • Configure Color of Analyte Flags: You can now configure a color for each analyte flag, Optimal, High, Low, Critical High, Critical Low, enabling you to quickly identify the test analyte runs having abnormal or optimal observed values.
  • Include Analyte Flagging Graph in Your Report: You can generate a bar graph based on the analytes and their reference ranges. You can select either three (minimum, maximum, and optimal) or five (minimum, maximum, optimal, critical low and critical high) flagging range option. Based on the final result values of each analyte, a bar graph is generated. The graph has analytes on its x-axis and the flags on its y-axis. The graph proves to be an effective tool to monitor analytes within range and those deviating from the optimal values.
  • Flag Observed Values Based on a User-Defined Attribute: You can now configure the program to raise a flag based on the test results available in the user-defined test result column, providing an alternative to setting pre-configured flags. The user-defined attribute can either have a numeric value or a formula expression.
  • Include Newly Added Analytes to Existing Test Records: You can now choose to include new analytes in the existing test records or exclude them, based on your requirements.

  • Quick Test Creation and Results Entry: You can associate samples with a test while importing test results from a file. The results are auto-calculated based on the configured formula expression.

You can also create predefined templates to import data by mapping the spreadsheet headers to CloudLIMS attributes/records.   • Pool Samples to Create Derivative(s) or Aliquot(s): With CloudLIMS, you can now pool samples belonging to the same type, obtained from different runs, and same patient or sample source in order to create one or more derivatives or aliquots. Pooling helps clinical and testing laboratories reduce experimental costs by eliminating the need for sample preparation, processing, and testing for samples belonging to the same type and patient, besides reducing analytical run times. While pooling samples, you can choose to consume the entire amount of each parent sample or define the total quantity to be consumed from each sample.
  • Configure Advanced Calculations For Attributes: Two new operators, square root function and percentage, can now be used for defining a formula expression for a new attribute, enabling accurate calculation of complex test results.

  • Automatic Test Result Calculation: You can now import sample test results from .csv or .xlsx file formats. The test results data could contain results from tests on multiple analytes. The raw results can be transformed to meaningful data using formulae which you can key in the test results calculation field.   • Account Lockout: You can now set the number of failed login attempts for locking out a user.   • Client Management: This new module in CloudLIMS helps clinical, environmental and cannabis testing labs manage client information comprehensively. You can easily configure details of clients and associate them with the existing patient and sample entries to record client transactions and offer a personalized service.
  • Reflex Test: If you have a clinical, environmental or cannabis sample that is tested for one analyte, and would like to order another test based on the test result obtained, you can now do so using the Test module. You can easily order another test for a sample, based on the outcome of a previous test, for further profiling, confirmation or analysis using the Reflex Test functionality.
  • Test Chronology: You can track the order in which various tests are performed on a sample in your lab.

  • CoC in Test Module: While you transfer a test to another user, you now have the option to receive/send notifications, include a digital signature for authentication, and assign rights to users for the transferred tests. This functionality helps manage the Chain of Custody (CoC) for qualitative and quantitative tests.
  • Virtual Storage Creation: To create storage units of a defined capacity or shape, you can now disable certain wells while assigning storage locations to samples. This functionality is also useful for reserving space for incoming samples.

  • Diversified Data Type Configuration for Attributes: This enhancement provides users with greater configurability, scalability, and standardization. You can now configure attributes and make data entry easier using pre-loaded radio buttons, check boxes, spinners, combo-lists options. You can also define an attribute type with a minimum and maximum character length.
  • Enhanced Sample Form Configuration: This feature allows you to configure forms specific to each sample type, just as a template, so that samples can be added using the form over and over again.

  • Batch Import: You can now upload multiple samples, subjects, storage units etc in a batch into CloudLIMS by using this import functionality. The mapping template facilitates automatic mapping of similar column headers from the import file (.xls or .csv) with the attributes in CloudLIMS. You can also map the headers with different names manually and save the mapped settings as a template for future use. After uploading the data, all the corresponding meta-data is linked. Also, your imported data file log is maintained for future reference. A detailed error log enables you to reprocess your import file, in case the import fails.
  • Improved Subject Form Configuration: This configuration allows for storing of patient data or any source of sample such as plants, animals etc as needed by your laboratory workflows.   • Enhanced Client Portal Services: Your customers can now easily place a test order for multiple samples from CloudLIMS’ Client Portal. Your customers can add multiple samples to the test order and associate each sample with the same or different test package. For each sample, the order can be placed for one or more test types, for example, cannabinoid test, heavy metal test, and other tests. After placing the test order, the samples are accessioned under the Samples module and the test order gets added as a request to the Services and Billing module of the Client Portal. Subsequently, your lab receives the test order for further processing and testing.Your customers can cancel the order if they accidentally place any incorrect test order. Your customers can now add samples and place a test order from the Samples module of the Client Portal, eliminating the need to switch to multiple modules, saving time and effort.
  • Add a Date Infix to a Module ID: You can now add a date infix to a module ID, for example, a sample ID or a test ID. While configuring a module ID, you can include either year or both month and year as the date infix. You can choose to update the date infix based on the calendar changes or have it fixed. Furthermore, you can choose to reset the serial number of the module ID with every date infix update. This unique identifier system enables you to track, search, sort, and maintain year-wise or month-wise logs of samples, tests, and other records.
  • Enhanced Sample & Subject Import Functionality: You can now associate samples with subjects using external or lab-defined subject IDs while importing sample records from a file. Similarly, you can associate subjects with samples using external or lab-defined sample IDs while importing subject records from a file. This functionality enables you to use your lab-defined IDs instead of system-defined IDs while associating sample and subject records.

CloudLIMS Version 3.30 Released

The new version includes the following:

  • Affix Reviewer’s Signature on Reports: You can now include the reviewer’s signature on test reports and Certificates of Analysis (CoAs) along with a date and time stamp. The reviewed date and time are automatically captured and are non-editable. The signature can be retrieved automatically from the reviewer’s profile, eliminating the need to upload the signature each time to affix it digitally. You can position the signature either to the left or right of the approver’s signature. You can choose to include either the reviewed date or both reviewed date and time along with a custom text on the reports. Moreover, you can choose the position of the date and time stamp with respect to the reviewer’s signature or other signatures on the test report. This functionality enables you to comply with the 21 CFR Part 11 guidelines with ease.
  • Generate Password-Protected Test Reports: The latest version of CloudLIMS enables you to generate password-protected test reports and certificates of analysis (CoAs) in PDF format. If you choose to generate a password-protected report, all lab staff members, the associated patient, and the associated physician or client need to enter the date of birth of the patient as the password to view the report. We have implemented security safeguards to prevent the editing of test reports or CoAs. This functionality enhances the security and integrity of the test reports, preventing unauthorized alteration of test results.
  • Enhanced Turnaround Time (TAT) Calculation: While configuring an expression to calculate the turnaround time, you can now select the test result entry date and the result validation date. For example, you can define an expression to calculate the time lapse between the sample accessioning date and the test result validation date. As soon as the test results are validated, CloudLIMS captures the validation date and calculates the turnaround time based on the time lapse between the sample accessioning date and the validation date without any manual intervention. This functionality provides you the flexibility to choose additional activities or attributes per your requirement to calculate the turnaround time.
  • Enhanced Reporting Flexibility: You can define subscripts and superscripts for text in the report title. You can define the alignment, font size, and font color of the inline view attributes and their respective values independent of each other. Furthermore, you can include an image, for example, an e-signature, at the footer of every page of a multi-page test report and Certificate of Analysis (CoA). You can define the width and the height of the image and choose to position the image inline to the left or right of the footer text. These reporting enhancements enable you to generate reports in multiple layouts and formats and meet diverse reporting requirements.
  • Enhanced Show/Hide Functionality: You can now easily copy the attribute selection from one user role to multiple user roles and apply the selection for displaying in forms and the search list. This functionality eliminates the need to select attributes for display for each user role individually, saving time and effort.
  • Concatenate Sample Attributes: You can now concatenate three sample attributes irrespective of whether they are system-defined or user-defined. You can define the number of characters of each attribute to be concatenated to form the resulting attribute. Furthermore, you can choose to include a space between the attributes after concatenation. For example, if you would like to concatenate the Sample ID, Barcode ID, and the Serial Number of each cannabis sample to define the corresponding Batch IDs, you can configure Batch ID as a concatenated attribute and select Sample ID, Barcode ID, and Serial Number as the concatenating attributes. As soon as you accession a new cannabis sample, CloudLIMS automatically generates the Batch ID of the sample based on the Sample ID, Barcode ID, and Serial Number, saving time and eliminating any chances of manual errors.
  • Post Test Results to METRC® With Ease: The latest version of CloudLIMS enables cannabis testing labs to generate test reports in the CSV file format for multiple tests associated with a sample and import the file directly to METRC®, a state tracking system. This functionality enables cannabis testing labs to download test results per the METRC® standard state template and remain compliant with the state regulations with ease. Furthermore, it reduces any chances of delay in result reporting to regulatory agencies, saving cannabis testing labs from penalties.

CloudLIMS Version 3.20 Released

The new version includes the following:

  • Share Test Reports with Third Parties: The latest version of CloudLIMS enables you to automatically share test reports securely with third parties, including regulatory agencies, such as the Centers for Disease Control and Prevention (CDC), using Secure File Transfer Protocol (SFTP). You can configure SFTP details such as hostname, destination file path, username, password, port number, and source file path. While generating a test report in CSV and XLS file formats, you can choose to share the test report with a third party using SFTP and save the settings as a template for using it over again. Furthermore, you can view the status of the report transfer and initiate necessary actions in case of failure. This functionality eliminates any chances of missed reporting or delay in result reporting to regulatory agencies, third parties, and federal and state governments.
  • Notify Test Report Release to Staff: You can now email test report release notifications to your laboratory staff as soon as the test reports are released to patients, clients, or both. This functionality eliminates the need for the users to log in to CloudLIMS to check the report release status, saving time. Furthermore, this functionality helps lab managers take timely actions if they do not receive the report release notification, enabling them to meet the predetermined turnaround time.
  • Batch Reporting Flexibility: While sending test reports to patients and clients in a batch, you now have the option to not attach test reports to the email notification. This functionality provides you more control and flexibility while reporting results to clients and patients. Furthermore, this functionality helps you avoid non-compliance to regulations in some regions where reporting test results through email is not recommended or prohibited due to security reasons.
  • Attach an External Report to Multiple Test Records: You can now select multiple test records associated with the same client or patient and attach an external report to all selected records. This functionality is useful when you need to upload an external report to more than one test record, saving time and reducing chances of manual errors.
  • Build Context Search Templates: You can now save the preferred selections for context search as a default template for using it over again. This functionality saves time and effort by eliminating the need to select attributes, Boolean operators (AND, OR) and relational operators (less than, greater than, equal to) for recurrent context searches.
  • View Sample Disposal Date and Time: You can now easily view the date and time of all disposed of samples in the Sample Management module. You can choose to show or hide the sample disposal date and time from the Sample Management module. Furthermore, you can include or exclude the disposal date and time from the sample reports. This functionality enables you to view the date and time of sample entry and disposal at the same place, eliminating the need to switch to different modules to view the information.
  • Check-in & Check-out Samples Seamlessly: You can now check-in and check-out one or multiple samples from the Sample Management module irrespective of their storage location. This functionality eliminates the need to navigate to the Storage Management module and trace the storage container in which the samples to be accessed are present, saving time and effort.
  • Notify for Batch Sample Addition: The latest version of CloudLIMS enables you to receive a consolidated email notification for adding multiple samples in a batch or importing samples from a file. For example, if you add or import 100 samples in a batch, you will receive one email notification with the details of all 100 samples. If 50 samples are associated with one custodian and the remaining 50 are associated with a different custodian, each custodian will receive one email notification with the details of all 50 samples associated with them. This functionality enables you to receive consolidated data of all samples added at a time, saving you from a cluttered inbox.
